PRIMARY PURPOSE OF THE JOB
To drive and manage all Employee Relations (ER) and Industrial Relations (IR) functions across the organisation by providing expert advice and guidance to management and employees on labour-related matters. The role is responsible for fostering positive employee-employer relationships, ensuring compliance with labour legislation and company policies, managing disciplinary and grievance processes, representing the company in industrial relations matters, and developing initiatives that promote a healthy, productive, and compliant workplace.
The Employee Relations Specialist will further be responsible for developing, reviewing, implementing, and monitoring company policies, procedures, and workplace practices, while introducing processes and interventions that strengthen organisational culture, employee wellbeing, and operational effectiveness.
Qualifications and Experience Required
- A minimum of 5 years of experience in Employee Relations and Industrial Relations or similar role.
- Bachelor's degree in human resources, Business Administration, or related field from a recognised institution.
- Strong understanding of HR best practices, employment laws, and industry trends.
- Proven experience handling disciplinary hearings, grievances, misconduct investigations, and dispute resolution.
- Extensive knowledge of Namibia Labour Act, employment legislation, and disciplinary procedures.
- Experience representing an employer before conciliatory, mediation, arbitration, or labour dispute forums.
- Strong policy development and implementation.
- Excellent conflict management, negotiation, and mediation skills.
- Excellent report writing and presentation skills.
- Strong analytical and problem-solving ability.
- Ability to handle confidential and sensitive information with discretion.
- Computer literacy (MS Office Suite)
- Valid driver's licence and own transport'
- Namibian citizen
Key Responsibilities
Industrial Relations Management
- Lead and manage all Industrial Relations processes across the company.
- Advise management on Labour legislation and IR best practices.
- Represent the company during disciplinary hearings, grievance hearings, mediations, conciliations, and labour disputes.
- Ensure procedural and substantive fairness in all labour matters.
- Mitigate organizational risk through proactive IR interventions.
Employee Relations
- Promote and maintain positive employee relations through the organisation.
- Investigate employee complaints, grievances, and misconduct matters.
- Facilitate conflict resolution and workplace mediation.
- Provide professional advice to managers regarding employee conduct and performance concerns.
- Drive engagement initiatives that support a positive working environment.
Policy development & Governance
- Review, draft, update, and implement HR and company policies.
- Ensure policies remain aligned with current legislation and industry best practices.
- Monitor policy compliance and recommend corrective actions where necessary.
- Conduct training and awareness sessions on policies and procedures.
Management Advisory Services
- Act as a trusted advisor to management on employee relations, industrial relations, and labour law matters.
- Provide practical guidance and recommendations on workforce management issues.
- Support managers with decision-making relating to employee conduct, performance, and workplace conflicts.
Healthy Workplace & Culture Development
- Develop and implement processes that promote a healthy, safe, respectful, and productive workplace culture.
- Identify workplace risks impacting employee's wellbeing.
- Facilitate initiatives aimed at employee wellness, engagement, and retention.
- Support the promotion of diversity, inclusion, and organisational values.
Compliance and Risk Management
- Ensure compliance with labour legislation, company policies, and employment regulations.
- Conduct regular audits of ER and IR processes.
- Identify and mitigate employee-related risks.
- Maintain accurate records and documentation for all ER and IR matters.
Reporting and Administration
- Prepare monthly ER and IR reports for Executive Management.
- Maintain disciplinary, grievance and labour dispute records.
- Track key ER metrics and trends for decision- making purpose.
- Provide management with meaningful employee relations insights and recommendations.
