The Employee Relations Specialist is responsible for the effective dispatching, intake, triage, and management of employee relations cases, while also focus on discipline-related matters of low to moderate complexity. The role ensures that all incoming cases are accurately assessed, documented, and assigned in accordance with established governance assignment frameworks, while independently managing 'discipline' investigations that support fair, consistent, and compliant application of company policies.
In addition, the role plays an important function in maintaining the integrity of the Employee Relations case management system, ensuring data accuracy, reporting reliability, and visibility into case trends and outcomes. The Employee Relations Specialist partners closely with People stakeholders and cross-functional teams to support timely resolution of cases.
1. Dispatching:
• Receive, review, and assess all incoming Employee Relations cases across the LA region.
• Analyze key case information, including country of origin, nature of the issue, involved parties, etc.
• Accurately register and document cases in the ER tracker system, ensuring completeness and data integrity.
• Assign cases using a predefined assignment matrix aligned with regional scope, expertise, and capacity.
• Identify and escalate cases outside of scope (e.g., Compliance, high-risk, or complex matters) to the appropriate ER team members.
2. Case Management -Discipline cases:
• Manage end-to-end investigations for Discipline related cases of low to moderate complexity.
• Handle cases involving violations of company policies (excluding Compliance matters), including but not limited to sales and merchandising policies, safety policies, attendance, etc.
• Conduct investigations in line with Employee Relations SOPs, ensuring objectivity, confidentiality, and procedural consistency. Perform intake discussions and interviews with employees, managers, and relevant stakeholders. Gather, analyze, and assess documentation and evidence to support objective conclusions.
• Write clear and concise case documentation, including findings, and recommended actions.
• Provide guidance to People Managers on appropriate disciplinary actions and case handling.
3. ER Tracker & Reporting:
• Maintain the accuracy and integrity of the ER tracker system through timely and precise data entry and updates.
• Generate reports on key metrics, including case volume, case aging, active caseload per ER resource, etc.
• Monitor case progress against established SLAs and highlight risks or delays as appropriate.
• Track and monitor case recomendations (action items) arising from ER cases (e.g., coaching, training, or corrective actions assigned to People Leaders or Managers).
• Ensure clear visibility of the “what, who, and when” for each recommendation within the ER tracker. Proactively follow up with assigned owners to ensure timely completion of actions.
4. Managing the content of ER articles in the Employee Center:
• Maintain and update Employee Relations articles and their content within the Employee Center.
• Ensure that ER articles are current and accurate. Validate that all links, resources, and guidance materials are functional and relevant.
More about this role
- Major: Human Resources Management, Psychology, Business Administration, Organizational Development, Industrial Psychology, Law or related field (preferred).
-Experience related to HR roles is required, such as: HR Specialist, HR Advisor, HR Partner and the like or Employee Relations (a minimum of 1 years in a recent experience) and familiarity with employment law (minimum of 2 years).
-Experience in Shared Service centers (highly preferred but not required, 2 years)
-Advanced English Level required, both written and verbal.
-Fluency in Portuguese is a nice to have.
