Employee Housing Coordinator
Job Summary
Isla Bella Beach Resort is seeking a proactive and highly organized Employee Housing Coordinator to oversee the day-to-day operations of our employee housing program while providing administrative support to the People + Culture department.
This position is responsible for the overall coordination of employee housing, including occupancy planning, resident communication, move-ins and move-outs, inspections, unit readiness, housing documentation, and vendor coordination. The Employee Housing Coordinator will also serve as an administrative resource for the People + Culture office, helping maintain an organized and efficient workplace and supporting routine HR functions.
The ideal candidate has experience in property management, residential housing, apartment operations, leasing, or resident services and is comfortable balancing administrative responsibilities with an active presence throughout our employee housing locations. Success in this role requires initiative, strong follow-through, attention to detail, sound judgment, and a service-oriented approach.
Key Responsibilities
Employee Housing Operations
- Coordinate the day-to-day operations of the resort's employee housing program across multiple housing locations
- Manage housing assignments, move-ins, transfers, consolidations, and move-outs
- Monitor current and upcoming occupancy and proactively plan for anticipated housing needs
- Partner with People + Culture and Recruiting to forecast housing needs for incoming employees
- Conduct move-in, move-out, and routine housing inspections
- Coordinate apartment turnovers and ensure units are clean, safe, properly furnished, and ready for incoming residents
- Partner with Engineering, Housekeeping, and outside vendors to coordinate maintenance, repairs, pest control, cleaning, and other housing needs
- Coordinate access to occupied units for approved vendors and maintenance personnel when necessary
- Track open housing work orders and follow through to completion
- Maintain inventory of furniture, appliances, linens, keys, and other housing assets
- Identify housing supplies, furnishings, appliances, or other items that need to be purchased and communicate ordering needs to the People + Culture Manager
- Document unit damages and coordinate necessary follow-up, repairs, or replacements
- Maintain organized housing storage and supply areas
- Manage housing assignments effectively to maximize available occupancy
Property & Unit Readiness
- Prepare apartments and bedrooms for incoming residents, including bed and linen setup and other turnover needs
- Assist with light cleaning and organization when necessary to ensure units are ready for occupancy
- Coordinate and maintain linens and housing supplies for resident arrivals
- Address basic household needs such as replacing light bulbs, batteries, and similar items
- Assist with organizing and relocating housing supplies, furnishings, and household items as needed
- Regularly assess housing locations for cleanliness, maintenance, safety, inventory, and operational needs
- Escalate larger maintenance, repair, or property concerns to the appropriate department or People + Culture Manager
Resident Services & Housing Administration
- Serve as the primary point of contact for employees residing in company housing
- Communicate housing policies, expectations, move-in and move-out procedures, inspections, and community standards
- Respond to resident questions, concerns, and housing requests in a timely and professional manner
- Address roommate concerns and assist with conflict resolution when appropriate
- Maintain positive resident relationships while consistently and fairly enforcing housing expectations
- Prepare and maintain leases, housing agreements, occupancy records, resident files, and related documentation
- Maintain accurate housing rosters and availability records
- Coordinate housing charges including rent, deposits, prorated amounts, damages, and outstanding balances
- Ensure accurate housing deductions are communicated for payroll processing
- Monitor housing balances and assist with follow-up on outstanding amounts
- Document housing incidents, policy violations, damages, and required follow-up
- Maintain accurate and organized housing records and reporting
People + Culture & Office Administration
- Provide day-to-day administrative support to the People + Culture department
- Maintain an organized, professional, and well-stocked People + Culture office
- Monitor office supplies, forms, onboarding materials, and other departmental resources and notify the People + Culture Manager when items need to be ordered or replenished
- Maintain organized storage areas, files, supplies, and shared P+C resources
- Assist with new hire onboarding and orientation
- Support completion and organization of employment paperwork and I-9 documentation
- Assist with interview scheduling and recruiting coordination
- Maintain employee files and People + Culture documentation
- Assist with preparation and organization of materials for trainings, meetings, employee events, and recognition initiatives
- Support employee engagement activities and departmental projects
- Assist employees with routine People + Culture questions and direct more complex matters to the appropriate P+C leader
- Provide additional administrative support to the People + Culture Manager as needed
Qualifications
- Minimum of 1 year of experience in property management, apartment operations, residential leasing, employee housing, student housing, or resident services required
- Experience with move-ins, move-outs, inspections, unit turnovers, maintenance coordination, or residential occupancy strongly preferred
- Previous hospitality or employee housing experience is a plus
- Previous Human Resources or office administration experience is helpful but not required
- Strong organizational, administrative, and time-management skills
- Proactive approach with the ability to identify needs, establish priorities, and follow through with limited supervision
- Strong resident relations and customer service skills
- Ability to handle resident concerns and difficult conversations professionally
- Strong attention to detail and accurate recordkeeping
- Ability to balance administrative responsibilities with property-based operational needs
- Proficiency with Microsoft Office and ability to learn HR, payroll, and housing systems
- Valid driver's license required
- Bilingual English/Spanish preferred
Physical & Work Requirements
This position works between the People + Culture office and employee housing locations and requires regular movement throughout the housing community.
- Ability to regularly travel between the resort and employee housing locations
- Ability to conduct apartment and property inspections
- Ability to stand and walk for periods of time throughout the workday
- Ability to bend, reach, lift, and carry housing and office supplies as needed
- Ability to lift and/or move up to 25 pounds
- Ability to assist with light unit preparation and housing-related operational tasks
- Ability to operate a golf cart or company vehicle as needed
