Job Description
We wish to appoint an EMEA Events Excellence Associate to join our client’s team, a leading multinational organization in the pharmaceutical and healthcare sector.
The EMEA Events Excellence Associate plays a key role in ensuring the flawless execution of customer engagement activities and events across the EMEA region.
About the role
This position combines project management, compliance oversight, and cross-functional collaboration, ensuring that all activities align with EFPIA, HCBI, and internal compliance standards.
Your role will include:
- Support the end-to-end planning, coordination, and execution of regional events, such as sponsorships, consultancy agreements, advisory boards, and pre-congress meetings.
- Manage the event lifecycle in the company’s CRM system, ensuring accurate documentation, approvals, and timely updates.
- Act as a liaison between internal stakeholders (Business, Compliance, Legal) and external agencies, ensuring smooth collaboration and adherence to standards.
- Support financial processes, including purchase orders (POs), invoice tracking, and event reconciliations.
- Assist in the selection, contracting, and monitoring of agencies, ensuring cost efficiency and high-quality deliverables.
- Ensure full compliance with EFPIA, HCBI, and internal healthcare regulations, maintaining accurate and audit-ready documentation.
- Contribute to event evaluation and reporting, including KPI tracking and After Action Reviews.
- Collaborate closely with the Events Excellence Specialist for congress-related activities and process improvements across the region.
- Identify opportunities for process improvements and operational efficiencies across events.
What we are looking for
- Bachelor’s degree in a relevant field (Master’s degree will be considered an asset).
- 2+ years of experience in event management within the pharmaceutical industry or event agency.
- Familiarity with healthcare compliance frameworks (EFPIA, HCBI).
- Excellent project management, organization, and communication skills.
- Proven ability to work effectively in a matrix and virtual environment.
- Fluency in English (spoken and written).
- Proficiency with event management tools (e.g. CVent, iMR, HPR, ICD) will be considered an advantage.
- Availability for occasional travel within Europe.
