Position Overview
Prairie View CCBHC is seeking an EHR Specialist to serve as our primary internal expert for the Netsmart EHR suite. In this role, you will bridge the gap between clinical operations and technology by optimizing clinical workflows, maintaining backend data integrity, managing system configurations, and leading ongoing training and support for our staff.

Key Responsibilities
System Configuration & Data Integrity
- Partner with clinical leads to translate clinical best practices into effective system configurations.
- Create, update, and retire templates, forms, order sets, smart texts, flowsheets, and clinical pathways.
- Maintain user profiles, access control, and system permissions.
- Implement and validate clinical decision support tools, alerts, and data validation rules.
- Investigate and correct documentation and backend data issues, collaborating closely with the Senior Application Analyst and Clinical Systems Officer.
Integration & Vendor Management
- Manage and troubleshoot interfaces between MyAvatar Nx and connected Netsmart products, including MyHealthPointe, Bells AI, and Scribe.
- Validate message exchanges, data mappings, and reconciliation processes across platforms.
- Monitor AI performance metrics (Bells AI/Scribe), tracking false-positive/negative rates and reporting issues to vendors for model retraining.
- Scope, coordinate, and test system build requests and enhancements while managing change tickets and prioritization.
- Stay current on Netsmart feature updates, patches, and product roadmaps.
Workflow Optimization & Patient Portal Management
- Map and analyze existing clinical and administrative workflows to identify inefficiencies and compliance risks.
- Design and test optimized workflows within MyAvatar Nx to improve client throughput and documentation quality.
- Configure MyHealthPointe patient portal settings, access levels, consent workflows, and registration flows to support telehealth and client engagement.
- Ensure portal data (demographics, appointments, messages, shared documents) syncs flawlessly with MyAvatar Nx.
Training, Education & Support
- Provide Tier-2 technical support for complex end-user issues, escalating to Netsmart vendor support when required.
- Develop role-specific curricula, job aids, quick-reference guides, and tip sheets for new hire onboarding and system updates.
- Deliver live and recorded training sessions for staff on proper workflows, form usage, AI outputs, and privacy/security considerations.
- Establish and lead a "train-the-trainer" program to develop department super-users.
- Monitor system usage metrics to propose iterative changes that increase adoption and reduce staff burnout.
Qualifications
- Minimum Education: Associate's degree in Health Information Management, Healthcare Administration, Information Technology, Business Administration, or related field preferred.
- Preferred
Qualifications: Bachelor's degree in Health Information Management, Information Systems, Healthcare Administration, Business Administration, or a related field.
- Minimum of two (2) years of experience working with an Electronic Health Record (EHR) system in a healthcare setting.
- Experience with MyAvatar Nx and NetSmart preferred.
- Experience serving as an EHR super-user, trainer, administrator, or implementation team member.
- Experience supporting behavioral health, community mental health, or healthcare operations preferred.
- Working knowledge of healthcare documentation requirements, workflows, and regulatory standards, including HIPAA, Medicaid, Medicare, state reporting requirements, and accreditation standards.
- Experience developing training materials, job aids, and workflow documentation, preferred.
- Project management or system implementation experience, preferred.
- Proficient in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
- Strong data entry, data analysis, and reporting skills.
- Demonstrated ability to learn and support software applications and system functionality.
- Excellent organizational skills with strong attention to detail and accuracy.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing organizational needs.
- Effective written and verbal communication skills with the ability to train and support staff at all levels.
- Ability to maintain confidentiality and handle sensitive information in accordance with HIPAA requirements.
