Job Description

STATEMENT OF POSITION:

Under the supervision of the Assistant Chief Clinical Officer, the Electronic Health Record Manager is responsible for maintaining the organization's electronic health record (EHR) – Credible, providing training and technical assistance to HopeLink employees as needed on use of the EHR. Creates programs and services within the EHR. Processes non-medical billing in conjunction with finance and administrative staff. Compiles data for compliance reports. Completes regular reviews of EHR to ensure completeness and accuracy of clinical and billing documentation and completes and submits reports both internally and externally. Position requires close collaboration with clinical managers and direct service staff, the finance department, and other members of the organization's leadership.

This is a Hybrid position where the selected employee will be required to be on-site at our Oakton office location 1-2 days per week.

PRIMARY DUTIES:

  • Ensure timely, accurate, and compliant clinical and billing documentation within the Credible EHR, including the entry and tracking of required service authorizations.
  • Verify Medicaid and commercial insurance information and maintain accurate payer data in the system.
  • Oversee nonmedical billing processes for employment services, Children's Services Act funding for TIP and FPSP, and MHSS contracts.
  • Produce and/or oversee billing, utilization, and compliance reports for Finance and Compliance Departments as well as other internal leaders.
  • Maintain system configuration and integrity, including billing setups, payer rules, security roles, and user permissions; collaborate with Credible or external contractors as needed.
  • Create and manage user accounts and security access to support compliant operations.
  • Provide onboarding training, ongoing technical assistance, and in‑service sessions to ensure staff proficiency and consistent use of the EHR.
  • Identify and implement system improvements that enhance workflow efficiency, documentation quality, and user experience.
  • Develop and revise EHR forms and coordinate form/report development with external contractors; communicate progress regularly with stakeholders.
  • Conduct routine audits to ensure EHR accuracy, documentation quality, and HIPAA compliance.
  • Assist with HopeLink eligibility and credentialing needs that intersect with the EHR.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Associates degree; Bachelor's degree preferred.
  • At least two years of experience working in a behavioral or primary health setting managing an EHR.
  • Attention to detail. Excellent organizational and communication skills. Ability to be persistent yet tactful while gathering needed information.
  • Advanced Excel skills required.
  • High degree of empathy toward clients served.
  • Demonstrated knowledge and skill in computer procedures relevant to this position.

PREFERRED QUALIFICATIONS:

  • Experience using Credible, Qualifacts, CareLogic or Insync.
  • Experience using or developing reports in Credible's Business Intelligence Module.
  • Experience performing quality assurance functions.
