The Election Staffing Specialist position provides the opportunity to join a team of public servants dedicated to defending the integrity of our elections and making the democratic process even more accessible to the people of Jefferson County. The Election Staffing Specialist will assist the elections division in hiring between 350 and 1,000 election workers to serve the needs of Jefferson County voters each election.

The ideal candidate will be a values-driven professional with a desire to set the bar for great election administration. Our next team member must be innovative, voter-focused, relentlessly detail-oriented, and have the proven ability to move between diverse tasks with ease. The ideal candidate will have an engaging personality, strong curiosity about the elections process, and the ability to maximize the functionality of recruiting software. Necessary skills include the ability to test, use, and implement Learning Management Systems; a keen eye for matching workers’ skills to the demands of each position, and a drive to use data to efficiently staff elections. Our future colleague must be comfortable screening applicants, willing to redirect or dismiss workers when necessary, and adept at recruiting from a diverse set of community members. Spanish language skills and/or experience working with individuals from various cultures and communities is highly valued.
The Election Staffing Specialist will be responsible for the following:
Understanding and complying with state law and election regulations related to the hiring and dismissal of temporary election workers, also known as election judges;
Coordinating with the Jefferson County Clerk & Recorder Recruiter to onboard new judges and ensure I-9 compliance and appropriate employee relations;
Partnering with team members across the division to determine election staffing and training needs, and manage the prompt and accurate placement of temporary election workers.
Building schedules, training programs, and automated messaging in poll worker management software to ensure appropriate vetting of and communications with applicants for election judge positions;
Keeping excellent records in poll worker management software of election judge assignments, document compliance, training records, and performance;
Collaborating with poll worker management software vendor to maximize software automation and brainstorm efficient and secure collection and use of recruiting data;
Rigorously testing new features in poll worker management software to minimize errors in worker assignments, schedules, trainings, or communications;
Assessing election judge applicants and efficiently determining their suitability for the assigned role;
Assisting judges in completing onboarding paperwork, using the election worker portal, and completing any online training requirements;
Communicating with applicants on a daily basis to support the onboarding process and keep unassigned applicants apprised of the hiring status;
Oversee and document election worker access to secure physical locations and computer systems, ensuring timely deactivation of access following each election cycle.
Collaborating with counterparts in other jurisdictions to improve election worker hiring, assessment, and retention;
Providing excellent customer service to the public either in person, by phone, or via email;
Training on and occasionally working in a variety of election judge positions to deepen the understanding of what these positions require;
Using complex formulas and pivot tables in Excel to analyze data in order to assess staffing needs for each election and to improve efficiencies in election judge hiring, training, and retention;
Leading and delegating to other election judges who serve on the staffing team during large elections;
Fulfilling general office duties between elections, including answering phone calls from the public, updating voter registration records, and occasionally serving the public at the front desk;
Related duties as assigned.
SCHEDULE:
This position operates on a four-day work week Monday-Thursday, 7 a.m. to 5:30 p.m. In-office work is required at least two days per week, with remote work available two days per week. For the two months immediately preceding an election, and for three weeks after an election, in-office work is required four days per week. Please note that this position will require work on Fridays, evenings, and weekends surrounding our elections and will include mandatory overtime during most elections.
COMPENSATION:
Hiring Range: $23.17 - $28.96 USD Hourly.
Compensation will be determined based on education, experience and skills. Additional compensation for Spanish bilingual skills is available.

Due to legal requirements in election law, applicants for this position must be US Citizens and either registered voters in the State of Colorado or eligible to register to vote in Colorado upon employment.
Minimum Qualifications:
Experience: 1 year of office work experience
Education: High School Diploma or GED
License/Certifications:

Associate’s or Bachelor’s degree
Experience managing databases/tracking software
Microsoft Office Suite experience
Strong skills in Excel, Outlook, Word, and SharePoint
Customer service skills
Experience preparing and updating training programs on a learning management system
Experience training small groups
Preferred Skills and Abilities:
Demonstrate ability to understand and comply with laws and regulations, either in elections or any other highly-regulated field.
Experience using or administering software systems, preferably Learning Management Systems or similar platforms.
Ability to collaborate effectively with software vendors, logically implement software for organizational needs, and rigorously test new system features.
Strong attention to detail and proven ability to manage complex, multi-step workflows with accuracy.
Ability to analyze data using Excel, including formulas and pivot tables.
Experience screening, interviewing, or onboarding candidates in a hiring or volunteer coordination environment.
Ability to communicate clearly and professionally with applicants, colleagues, and the public in person, by phone, and by email.
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Proven ability to work effectively with people from diverse backgrounds and communities.
Comfort working with confidential information and ensuring compliance with security protocols.
