Job Description

GENERAL SUMMARY: Clerical administrator for raw material SDSs and data coordination into formulation software systems to include receipt, organization, review, and filing of raw material SDSs, as well as entering applicable data into Product Vision for CAS approvals generated from the raw material SDSs. Act as primary TSCA Notification Coordinator for all WFG facilities and Training Coordinator for the Hudson facility. Coordinate and administer new employee orientations with the Human Resources department. Prepare and/or run any regulatory reports as deemed necessary by the EHS Manager. Back-up for Audits in case of EHS Manager’s absence. Back-up and support final product SDS generation and distribution functions. Maintain mileage and fuel purchase logs on all interstate trucks for WFG. File quarterly fuel tax returns. Maintain driver qualification files. Coordinate all DOT drug screening. Serve as primary liaison between RPM and Wolfe and between RPM and Wheels for all DOT matters.

PRINCIPLE DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Maintain raw material SDS folders
  • Serve on Safety Committee
  • Communicate with vendors regarding lab/purchasing requests for new samples to facilitate the raw material approval process
  • Approve, with assistance of EHS Manager, any CAS numbers for GHS compliance as they are added
  • Run TSCA 12(b) report in the EHS Reporting Tool
  • Assist with SDS dispatch
  • Gate card administration and recordkeeping
  • Maintain mileage and fuel logs for fuel tax purposes
  • Maintain driver qualification files
  • Administer safety orientation training at the request of the HR
  • Administer regularly repeating training as needed as well as additional at the request of supervisor
  • Maintain accurate training records in employee files
  • Label approvals for contents, GHS symbols and first aid
  • Search for updated SDSs that have not been updated in the SDS files
  • Run TAPs report in EHS Reporting Tool
  • Maintain employee headcount for emergency evacuation and distribute forms in event of evacuation
  • Archive training documents of employees that are no longer with the company
  • Maintain PSM training documentation and ensure supervisors complete
  • Run various reports to ensure ongoing compliance with assistance of EHS Manager
  • Annual PSM updates
  • Work in formulation software to generate foreign-language SDSs as requested
  • Other possible duties as assigned by the EHS Manager:

a. Under supervision, assist with EPA, OSHA, DOT, DHS, TTB, FDA, and state compliance documents and inspections

b. Coordinate regulatory calendar follow-through

c. Assist in the auditing of:

i. Programs and regulatory documentation

ii. Employee training

iii. Reports and regulatory fees

iv. Waste and off-spec product disposal

v. Requesting safety, health and training supplies

d. Assist with inspection preparation and daily facility walk-throughs

e. Assist with compliance tracking programs and record keeping systems

QUALIFICATIONS

Experience and Education Required

  • High School graduate
  • AS degree in office/computer related area preferred
  • Office or similar experience required
  • Candidate may be required to complete further training upon hire for position

Specific Knowledge, Skills, and Abilities Required

  • Proficient with Excel, Word, E-mail (Microsoft Outlook preferred) and PowerPoint
  • 5 or more years of related experience
  • Perform multiple tasks while meeting deadlines
  • Ability to prioritize multiple projects
  • Strong ability to read and comprehend
  • Good written and verbal communication skills
  • Good mathematical reasoning
  • Ability to maintain confidentiality with sensitive information

Reasoning Ability

Prioritize and complete work as needed and as assigned. Problem solving and decision-making skills a must. A keen eye for detail is required for this position.

No extraordinary physical demands will be required. The individual will be sitting at a desk for extended periods of time. The individual may do some walking through the plant and occasional light lifting (approximately 20 pounds).
