eFiling Specialist (Remote)

On a regular basis you will

• Review incoming client requests in accordance with court rules, prepare them accordingly, and submit filings through Steno’s eFiling portal.
• Enter client and order information into our databases, including new assignments, updating documentation, status notifications, and closing orders.
• Ensure the timely completion of customer orders assigned to you, meeting service level agreements.
• Prioritize and monitor rush assignments to ensure timely delivery and effective customer communication.
• Maintain open lines of communication with customers, keeping them informed on status updates, conformed copies, and notifications of any rejections.
• Handle client emails and calls related to eFiling and court requests with a hospitality mindset.
• Monitor jobs on multiple databases to ensure timely status and fulfillment.
• Review and acknowledge special instructions and/or additional customer requests and ensure these are followed appropriately.
• Develop a solid understanding of filing requirements in the jurisdiction(s) covered.
• Handle customer inquiries and escalations quickly, and escalate to the appropriate relationship owners when necessary.
• Maintain accurate and concise notes of customer and vendor interactions.
• Close and invoice customer requests.

You’re gonna crush it if

• You have 3+ years of experience with eFiling, Physical Filing, and related Court Service work.
• You have a legal/litigation support background, specifically in preparing, reviewing, overseeing, and submitting legal documents for court filing.
• You have a deep understanding of the filing requirements and procedures for the California Courts, which prevents our clients from having their filings rejected.
• You have experience reviewing and submitting cases and documents with Journal Tech, Tyler Odyssey, LegalConnect, GreenFiling, or other related portals and software.
• You have experience with Legal CMS, which facilitates service of process, court filings/copy jobs, and eFiling.
• You’ve worked with legal support vendors, affiliates, and/or process servers for the fulfillment of service of process and court assignments.
• You’re a natural communicator and feel comfortable interfacing with people in every level of an organization.
• You can work through highly detailed processes efficiently and stay organized.
• You have the desire to work with a fast-paced and quickly growing tech start-up and are enthusiastic about the opportunity for growth within the company.
