The University of Arizona's Andrew Weil Center for Integrative Medicine (AWCIM) is seeking an Educational Programs Coordinator to provide direct support to the Education Team. The Educational Programs Coordinator will contribute to the AWCIM education team by providing support to directors, faculty, and contractors for education programs; including but not limited to scheduling meetings, corresponding with internal and external faculty and contractors, processing contractor requirement, managing student applications/registrations, organizing/scheduling curriculum activities, coordinating/processing travel, coordinating multiple schedules and shared email accounts. The position is a key contributor to the success of the Education Program and its mission; committed to being responsive, courteous, professional and efficient.

Support the education and student interactions for the fellowship and medical student education (virtual/live) activities including:

  • Manage student applications/registrations in multiple systems/platforms.
  • Respond to inquiries and determine appropriate action.
  • Serve as resource regarding a defined set of policies/procedures.
  • Assist with fellowship/medical student curriculum organization and scheduling.
  • Manage student affairs prior-during-after medical student education activities; including but not limited to agendas, evaluations, internal/external institution communication, fulfilling post-education completion requirements.
  • Manage shared email accounts, including corresponding by writing, drafting and/or sending communications.
  • Faculty outreach: coordinate schedules, create, send, manage contractor documents for activities using AWCIM and U of A systems.
  • Assist with implementation of marketing strategies.
  • Assist with audio-visual equipment, including but not limited to Zoom.
  • Maintain and update content/calendars across multiple platforms.
  • Provide guest/faculty assistance.
  • Draft and/or generate routine communications.
  • Coordinate production (formatting, copying, etc.) and disseminate documents, such as presentations, course handouts, proposals, conference and seminar materials, complex reports, brochures, and displays.

Provide financial and operational support for the fellowship and medical student education (virtual/live) activities including:

  • Process and monitor financial transactions, may involve researching/resolving discrepancies.
  • Movement of equipment/supply logistics.
  • Order/maintain activity supplies.
  • Provide operations/logistical support for fellowship/medical student education meetings and related activities, including inventory, scheduling, room setup, catering, technology, and education/learning materials (may involving lifting up to 40lbs).

Provide administrative support for multiple faculty who lead AWCIM fellowship and medical student programs:

  • Coordinate/schedule meetings.
  • Maintain multiple calendars.
  • Develop/maintain documents and spreadsheets, including drafting and editing letters and emails.
  • Maintain curriculum vitae for multiple faculty.
  • Meeting preparation, note-taking.
  • Participate in outreach, resource procurement, process improvement, and departmental organization.
  • Process AWCIM expenses using AWCIM/UA systems.
  • Coordinate pre-post travel requirements.
  • Serve as primary work group purchasing coordinator (purchase and maintain inventory).
  • Track projects in Asana, report status updates to directors/faculty and support process improvements.
  • Maintain departmental filing systems to ensure accurate and accessible records.
  • Participate in routine meetings and special projects when they arise.
  • Maintain faculty CV's and other documents.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through experience.
  • 1 year of relevant work experience.

Preferred Qualifications

  • Prior experience working in healthcare administration or higher education administration.
  • Experience using UAccess administrative systems.
