The Education Coordinator supports the administration of multiple neurosurgery training programs, ensuring efficient day-to-day operations across accredited and non-accredited training programs. This role manages fellow recruitment, onboarding, credentialing, and compliance with ACGME and institutional requirements. The coordinator also oversees scheduling, curriculum support, and educational program activities, including the HMS clerkship and internal rotations. Working closely with Program Directors and leadership, the position plays a key role in maintaining high-quality training experiences and advancing program development initiatives. Success in this position requires strong organizational skills, attention to detail, discretion, and the ability to manage sensitive information while navigating complex regulatory, institutional, and immigration requirements. The role supports critical departmental functions, including provider and research personnel onboarding, credentialing, visa coordination, and compliance tracking, while contributing to the efficiency of neurosurgery clinical, research and academic operations.
Qualifications
-Coordinate day-to-day administrative operations for multiple accredited and non-accredited neurosurgery training programs, ensuring efficient program delivery
-Manage all aspects of fellow recruitment, including interview scheduling, applicant communication, and coordination with selection committees.
-Oversee onboarding and credentialing of new fellows, including completion of new hire documentation, licensure, visa requirements, and hospital privileges
-Plan and execute program orientation, graduation, and other key educational events for fellows and faculty.
-Administer fellowship program systems (e.g., New Innovations, ACGME WebADS, ERAS, NRMP), including annual setup, data maintenance, and reporting
-Coordinate clinical schedules, rotations, and educational activities for fellows across all affiliated sites.
-Manage the HMS clerkship program and internal rotators, including onboarding, scheduling, and coordination of educational experiences within neurosurgery.
-Serve as a primary resource for fellows, faculty, and administrators on program policies, accreditation requirements, and educational processes.
-Lead and execute special projects, departmental initiatives, and committee-related activities to support the ongoing development of neurosurgery education programs.
-Participates in interdepartmental meetings and institutional initiatives supporting quality improvement and operational efficiency.
-Manage onboarding and serve as the primary point of contact for all Research -Fellows and Extended Workers (EWs), including research trainees, interns, and observers, throughout their appointments.
-Oversee all visa and immigration processes, including applications, extensions, status changes, and funding updates, ensuring full institutional and regulatory compliance.
-Maintain accurate and confidential credentialing and VISA records, databases, and shared drives, ensuring readiness for audits and compliance reviews.
-Coordinate with immigration attorneys, institutional offices, and external agencies to facilitate visa sponsorship, green card processes, and complex immigration cases.

Bachelor's Degree Healthcare Management required
Experience:
Medical Education Program Management 1-2 years required
AGME or GME previous experience
Knowledge, Skills and Abilities
- Strong knowledge of the healthcare industry, including an understanding of medical terminology, healthcare regulations, and the dynamics of healthcare provider organizations.
- Excellent interpersonal and relationship-building skills are essential for building and maintaining strong connections with healthcare providers.
- Strong logistical and project management skills are important for coordinating multiple aspects of events, including venue selection, scheduling, and resource management.
- Exceptional verbal and written communication skills are necessary for effectively conveying information, delivering presentations, and facilitating discussions with healthcare providers, internal stakeholders, and external partners.
- Proficiency in collecting, analyzing, and interpreting data related to program evaluation and outcomes.
