The Education Coordinator serves as a key administrative and operational resource for the department, coordinating and overseeing a broad range of educational, academic, and programmatic activities in support of the Department Chair, faculty, staff, and graduate students. This position is responsible for planning and managing educational programs, seminar series, special events, and departmental initiatives to ensure the efficient operation of the department's academic mission.

The Education Coordinator works closely with the Graduate Program Director to support graduate student success, providing guidance and administrative support throughout the degree process for MS, PhD, and MD/PhD students. Responsibilities include coordinating program activities, monitoring student progress, facilitating communications, managing educational records, and ensuring compliance with institutional and program requirements. The role also serves as a central point of coordination for special projects and departmental educational activities, fostering a positive and supportive learning environment for students, faculty, and staff.


Qualifications:

Bachelor's degree in business administration, health care administration, finance, accounting or related field plus three (3) years of experience in handling education-related activities and providing administrative support required.

Knowledge, Skills & Abilities:

  • Knowledge of general office procedures and protocols.

  • Knowledge of academic and/or vocational education curricula.

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.

  • Knowledge of supplies, equipment, and/or services.

  • Skill in Microsoft Office, including Excel, Word, PowerPoint, and Access.

  • Program planning and implementation skills.

  • Skill in organizing resources and establishing priorities.

  • Ability to communicate effectively orally and in writing.


Additional Information:

Responsibilities:

  • Assist graduate instructors in the administration of the department’s graduate courses. This task includes, but is not limited to, printing and copying, formatting exams, inputting grades, sending grades to students, creating/editing and sending faculty and course evaluations and sharing faculty evaluation scores and rank with them.

  • Assistant to the Track Director (Dr. Rosie Simmen) of the GPIBS Program

  • Provide administrative support to the department Faculty Search Committee (FSC).

  • Maintain the schedules for the departmental seminar series and educational events.

  • Responsible for contacting the speaker for seminar titles, preparing and distributing fliers, ordering and setting up food when appropriate and submitting the invoice for payment, taking attendance, and cleaning up afterward.

  • Create a welcome board for new students including the syllabus.

  • Create and maintain columns for exams, rank, percentages, totals and grades for courses.

  • Post grades and percentages after each exam for students to view.

  • Create interaction boards with instructors and students for posting powerpoint presentations to review before coming to class.

  • Access student information for faculty as requested such as student course rosters for faculty to set up their course; check student status to see if anything is missing/needed such as holds; input grades each semester. Input final grades for the registrar’s office to view.

  • Prepare and distribute dissertation/thesis announcements for graduating students.

  • Order food for the reception and submit an invoice for payment. Prepare paperwork to mail out the dissertation/thesis to be bound.

  • Serve as backup to procurement staff in ordering as necessary.

  • Process Fed Ex and UPS shipping requests.

  • Answer phone, type letters, copy, file, maintain Chair's calendar (in the absence of the EA), greet and direct visitors.

  • Input/Adjust time and leave for bi-weekly and concurrent employees in the department.

  • Sign off on bi-weekly and concurrent time cards to submit to payroll for processing.

  • Maintain departmental student/alumni database.

  • Conducts special studies and prepares reports and/or surveys for regarding graduate students upon request.

  • Perform other duties as assigned.
