Education Abroad Coordinator- Office of the Registrar

The University of Illinois is accepting applications for an Education Abroad Coordinator in the Office of the Registrar. The Coordinator supervises education abroad credit processing for all student levels and manages the course approval database. This position also provides leadership and supervision to the Education Abroad staff, while working closely with staff in college and departmental offices.

Duties & Responsibilities

Education Abroad Credit Processing

  • Create education abroad Credit Recommendation Forms and submit to colleges for review.

  • Determine the necessary documents needed for processing education abroad credit and grades and retrieve said documents from Ugrad Recs, iAdmit, or other systems.
  • Review Credit Recommendation Forms approved by colleges/departments for accuracy and approve for entry on the student's record in Banner.

Course approval process and database

  • Manage course approval database user access. Provide training and user support.
  • Troubleshoot problems and collaborate with the vendor to improve database functionality.
  • Manage course approval process, including forwarding requests for departmental review, processing requests for additional review, ensuring Illinois credit is added to course listings, abbreviating course titles for use in Banner entry, and adding courses to the approved course list.

Leadership and Supervision

  • Supervise full-time employees in the Education Abroad unit. Assist with annual employee evaluations.
  • Serve as resource person concerning grade and credit evaluation scales and international institutions which includes answering non-routine questions via telephone and email.
  • Communicate with colleges, departments, students, and foreign institutions to obtain documents required/missing for processing.
  • Create and revise new grade and credit conversion scales as needed. Notify Illinois Abroad of need to publish new scale online.

Special Projects and Additional Duties as Assigned

Required Qualifications

  • Bachelor’s degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.
  • Two (2) years (24 months) of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting.
    (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Preferred Qualifications

  • Demonstrated experience in data management
  • Demonstrated experience with higher education student information systems.
  • Demonstrated experience with international transcripts and Education Abroad records.
  • Demonstrated experience success in supervision, training, and evaluation.
  • Experience with higher education processes and policies.
  • Experience interpreting and applying complex rules and regulations.
  • Experience balancing competing priorities and meeting deadlines.

Knowledge, Skills and Abilities

  • Strong communication skills.
  • Demonstrated ability to execute detailed processes and procedures.
  • Excellent analytical writing, organizational, communication, and interpersonal skills.
  • Ability to effectively interact with students, faculty, staff, alumni, administrators, and other stakeholders.
  • Knowledge of FERPA regulations
  • Knowledge of UIUC student systems and familiarity with Banner
  • Ability to learn specialty study abroad software.

Appointment Information

This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for this position is $45,000 - $55,000. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
