Position Summary

Westman Atelier is seeking a detail-oriented, eager-to-learn EDI & Operations Coordinator to join our fast-growing Operations team. This entry-level position is ideal for a recent graduate looking to build a career in luxury CPG operations and retail systems.

In this role, you will be responsible for the day-to-day processing and tracking of customer orders, Electronic Data Interchange (EDI) transmissions, and retail portal fulfillment across our premier global accounts (e.g., Sephora, Nordstrom, Bergdorf Goodman, Harrods, Cult Beauty).

Starting as an operational coordinator, you will gain hands-on experience across our enterprise technology stack, learning how orders flow from wholesale partners through NetSuite into our distribution centers. As our business expands, this role offers significant room for growth as you help us streamline processes, eliminate operational bottlenecks, and automate workflows.

Responsibilities:

EDI & Order Processing

  • Process manual and EDI Purchase Orders (POs) daily, validating pricing, margins, start/cancel dates, and shipping hold statuses across major wholesale and international accounts.
  • Manage end-to-end EDI order workflows, including Order Acknowledgments, Advanced Shipping Notices (ASNs), and Invoicing, ensuring compliance with retailer-specific guidelines.
  • Execute order setups and shipping label creation across various retail customer portals (e.g., Cult Beauty, FWRD, Moda Operandi).
  • Review and troubleshoot EDI errors, identifying missing or incorrect information and coordinating with internal teams and retail partners to resolve issues.
  • Maintain accurate order data and proactively follow up on discrepancies, cancellations, and order changes.
  • Manage no-cost and special order requests, ensuring orders are entered, processed, and tracked accurately.

Fulfillment & Retail Logistics Coordination

  • Monitor open orders thoroughly to ensure smooth end-to-end transit from warehouse release through final delivery to key accounts.
  • Submit shipment specifications, upload tracking details, process shipment confirmations in vendor portals, and generate customer invoices.
  • Assist in researching retailer compliance disputes (e.g., Sephora) by auditing packing lists, matching style/color codes, and verifying ASN data against freight records.

Process Improvement & Efficiency

  • Partner with senior team members to identify manual tasks that can be automated or streamlined within NetSuite and our EDI systems.
  • Maintain high data integrity across systems to minimize order holds, shipping rejections, and compliance chargebacks.

Requirements:

  • Bachelor’s degree in Business, Operations, Information Systems, or a related field (Recent/Fresh Graduates strongly encouraged to apply!)
  • Familiarity with NetSuite or similar ERP environments (SAP, Oracle, Microsoft Dynamics) is a strong plus; comfortable learning new software and retail vendor portals quickly.
  • Exceptional attention to detail, strong problem-solving skills, and a high degree of comfort working with numbers, margins, and complex spreadsheets.
  • Highly motivated self-starter with a strong interest in understanding luxury beauty supply chains and operational workflows.
  • Clear verbal and written communication skills to collaborate effectively with internal teams and external logistics contacts.
  • Thrives in a fast-paced environment with a strong ability to prioritize tasks and meet daily shipping deadlines.

Westman Atelier offers a holistic total compensation package designed to support employees in all aspects of life, including a robust suite of health benefits, wellness perks, 401k, and paid parental leave. The base salary for this position will range from $50,000 - $70,000. Exact compensation may vary based on job related skills, experience, and location.
