Job Description

The purpose of this lead role is to manage the Facilities & Employee Experience at the FBS India office in Coimbatore location.

Facilities Management:

  • Manage end-to-end facilities operations for the Coimbatore FBS India office.
  • Manage the outsourced IFM partner and monitor performance against agreed SLA and KPI.
  • Oversee technical services, soft services, small project works, and compliance management.
  • Coordinate with the landlord for common area facilities management.
  • Validate utility consumption such as water and EB/DG usage, verify bills, and ensure timely payment.
  • Coordinate with Ford Safety to implement Ford’s Safety Operating System.
  • Manage all Defect Liability Period claims for the newly established office.
  • Establish Annual Maintenance Contracts for Ford-owned technical assets after completion of DLP.
  • Oversee day-to-day office facilities operations.
  • Ensure upkeep of greenery and indoor plants.
  • Coordinate with Finance and Purchasing for procurement-related activities.
  • Track and manage facilities OPEX and CAPEX budgets for the Coimbatore office.

Employee Experience:

  • Coordinate with the business team to ensure a good workplace and employee experience related to facilities management.
  • Implement relevant GTBC best practices in the Coimbatore office.
  • Monitor indoor air quality.
  • Ensure incoming water and drinking water quality meet Ford and IS standards.
  • Maintain required hygiene standards.
  • Ensure help desk complaints are tracked and closed within the agreed timelines.

Statutory and Ford Internal Compliance:

  • Conduct monthly safety and management walks and ensure timely closure of observations.
  • Work with the landlord to ensure safe assembly zones are maintained as per Ford safety requirements.
  • Ensure compliance with all applicable statutory requirements.
  • Ensure timely renewal of fire and lift licenses by the landlord.
  • Coordinate with Ford Security and landlord teams to conduct mock drills and ensure compliance.
  • Prepare sub-ledgers and obtain timely approvals.
  • Support Facilities Business Continuity Planning as per business needs.
