General Description and Classification Standards:

Coordinates key communications functions for the assigned department. Duties and responsibilities include, but are not limited to: working closely with the Communications Manager to develop and execute processes and projects in support of the communications and marketing departments; serving as liaison between the communications department and other programmatic areas; and demonstrating superior customer service, interpersonal communication skills, and written communication skills.

Supervision Received:

Works under very general supervision. May work independently or with other skilled or semi-skilled workers with responsibility for completion of assigned tasks.

Essential Duties and Responsibilities:

These are typical responsibilities for this position and should not be construed as exclusive or all inclusive.

  • Sets up interviews with or for spokespeople.
  • Coordinates photography for events and activities for use in publications.
  • Ensures appropriate releases are signed and filed.
  • Assists in the coordination of media events including press conferences, television segments, etc.
  • Writes, produces, and edits marketing communications materials for internal departments as requested, including PowerPoint presentations.
  • Maintains style, logo, brand guidelines, and graphics and photograph files.
  • Confers with city officials, department heads, and television and radio representatives in the scheduling and production of Council events and meetings.
  • Monitors legislative matters to keep abreast of applicable issues affecting city government.
  • Compiles and maintains records pertaining to production schedules, printed media, and other publications.
  • Ensures records are filed in a systemized manner for ease of retrieval as needed.
  • Selects from multiple procedures and methods to accomplish tasks.
  • Provides guidance and training as required to lower-level staff, interns, temporary employees, etc.
  • Crafts and refines key messages, press releases, and communication materials that align with the organization's goals and values.
  • Builds and maintains relationships with media outlets, journalists, and reporters to secure positive media coverage and manage any potential crises.
  • Manages internal communication channels to ensure that employees are well-informed and engaged with company news and updates.
  • Develops content for various platforms, such as newsletters, social media, websites, and internal publications, to convey the company's vision and achievements.
  • Prepares and executes crisis communication plans to address and mitigate negative publicity or incidents that could harm the company's reputation.
  • Organizes and promotes corporate events, conferences, and presentations to enhance the company's image and engage with stakeholders.
  • Builds and maintains relationships with various stakeholders, including employees, investors, customers, and government agencies.
  • Manages the company's social media accounts to ensure a consistent and positive online presence while monitoring and responding to comments and inquiries.
  • Upholds and enhances the organization's brand identity through consistent messaging and visual elements.
  • Tracks and analyzes communication efforts to assess their effectiveness and making data-driven recommendations for improvements.
  • Reports on special and recurring events for the Department.
  • Plans, coordinates, and organizes specialty projects.
  • May perform other duties as assigned.

Knowledge Skills and Abilities:

  • Knowledge of effective communication and public outreach techniques and of the policies, procedures, and activities of television and radio programming as they pertain to the performance of duties relating to the position of Communications Coordinator.
  • Skill in effectively communicating and interacting with subordinates, management, employees, media representatives, members of the general public, and all other groups involved in the activities of the City as they relate to the department.
  • Ability to plan, schedule, and organize multiple priorities in a high volume of work and maintain effective working relationships with city administrators and employees, the public, and other agencies.

Minimum Qualifications:

Education and Experience -

  1. Bachelor's Degree in Mass Communications, Public Relations, Media Relations, Journalism, Business Administration, Public Administration, or related field (Additional years of experience may be considered as a substitute for the required degree on an exceptional basis, with a minimum of seven (7) years of professional related experience).

2.Three (3) years of progressively responsible experience in communications required

Licensures and Certifications - None required.

Preferred Requirements - Five (5) years of progressively responsible experience in communications preferred.

Work Environment:

Required physical, lifting, and sensory capabilities are requirements to perform the job successfully. Typical environmental conditions associated with job.

Lifting Requirements:

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.

Work Schedule:

This position follows the City’s hybrid work schedule policy as assigned by the Department of Human Resources Commissioner and requires in-person work at City worksites/facilities at least four (4) days per week, with the option to work remotely one (1) day per week, based on eligibility, departmental needs, and supervisor approval. The hybrid work schedule is subject to change at any time to five (5) days in-person work.
