Parts Coordinator
Location: 1220 Squires Beach Road, Pickering, Ontario
Position Type: Permanent Full-Time
Reporting To: District Equipment Manager
Start Date: Immediately
Hours: Monday to Friday, 10:00am to 7:00pm
Compensation: $28.60 per hour

The Parts Coordinator role is responsible for sourcing and purchasing truck parts, managing inventory levels, and ensuring timely, cost-effective supply of materials to support fleet operations. The position involves coordinating with vendors, technicians, and managers, processing purchase orders, handling returns and warranty claims and maintaining accurate inventory records. The ideal candidate has basic knowledge of truck parts, strong organizational and communication skills, and is comfortable with physical tasks and computer-based systems.

Responsibilities:
In the position of Parts Coordinator, your responsibilities will include but are not limited to:
• Must adhere to Miller Waste Systems safety protocols and must be familiar with Occupational Health & Safety Act.
• Purchase truck parts, supplies, and maintenance services based on fleet requirements for the Durham Shop.
• Request and compare quotes to ensure competitive pricing and on-time delivery.
• Create and process purchase orders using fleet management software; verify order accuracy and charge parts to appropriate work orders.
• Maintain accurate inventory levels through cycle counts, audits, and Min/Max tracking.
• Proactively reorder inventory to prevent stockouts.
• Identify slow-moving or obsolete inventory and recommend adjustments or disposal.
• Ensure all purchasing activity aligns with company policies, pricing guidelines, and compliance standards.
• Ensure proper labeling, organization, and storage of inventory items as per Parts Room Standardization Corporate guidelines.
• Coordinate vendor returns, core exchanges, and manufacturer warranty claims, including tracking, monitoring, and receipt of applicable credits.
• Coordinate with the warranty administrator on parts-related warranty transactions as needed.
• Work closely with fleet managers, technicians, and shop personnel to assess daily and upcoming operational needs.
• Perform monthly inventory reporting.
• Maintain a clean, safe, and organized stockroom environment.
• Coordinate with service shops to schedule repairs or arrange mobile service as needed.
• Operate forklift to load and unload delivery trucks.
• Maintain clear written communication with technicians and team members.

Competencies & Qualifications:
• Basic knowledge of truck parts and supplies.
• Strong computer skills and proficient in work, excel and outlook.
• Valid G Driver’s Licence.
• Physically handle and transport parts up to 50 lbs.
• Must be flexible with working hours, as weekend and holiday work may be required.
• Strong communication and organizational skills.
• Collaborative team player with strong interpersonal skills.
