DIMENSIONS OF THE ROLE

The post holder will manage the Plan vehicle based in the country or field programme offices. This includes ensuring vehicle is fit for purpose to deliver the projects or service and is actively managed, fuel management and maintaining vehicle operating books, staff and property safety and security during transportation, compliance with road/transport policies, laws and regulations, efficient staff and material transportation, administration/logistics and programme support

ACCOUNTABILITIES

  1. Vehicle maintenance
  • Vehicle daily check, completing all needed documents and reporting defects.
  • Carry out basic vehicle maintenance (top up oil, replace light bulbs, refuel vehicle), change a wheel, tyre repair and any other minor repair
  • Check all work is completed when the vehicle is serviced or inspected, all parts requested to be changed are changed, and no other items are tampered with
  • Clean vehicles (inside and out).
  • Supervise vehicle repairs and maintenance at the garage, review repair and maintenance costs before approvals and service maintenance data records
  1. Fuel management and maintaining vehicle operating books
  • Ensure the logbook is always completed assist in providing accurate data
  • Refuel vehicle as needed, completing all needed documents.
  • Fuel requesting initiating for approvals
  • Timely liquidation of fuel with complete supporting evidence, ensure accurate fuel consumption, maintenance and trip records
  • Monitor fuel consumptions and maintain appropriate fuel records
  1. Safety and Security
  • Ensure the vehicle is road worthy (tax/ insurance), and safe to drive (maintained on time).
  • Report any accidents or damage within 24 hours for timely support, insurance purposes etc
  • Secure all cargo transported in the vehicle.
  • Ensurecargo and passengersdonot go beyond the vehicle’s maximum capacity.
  • Ensure all passengers are wearing seatbelts.
  • Ensure the vehicle is parked correctly and in a safe location (inside Plan compound).
  • Ensure the vehicle doors are locked when driving and parked, outside the compound.
  • Responsible for emergency including disease outbreaks/floods supplies in vehicles to keep the driver and passengers safe
  • We have based on materials and passengers what about the speed limit which also contributes to the safety and security
  1. Policies, laws and regulations
  • Understand and follow all driving laws in country.
  • Follow all driver regulations and the basic requirements in the Plan International global fleet manual
  • Check and fill all necessary documents to ensure vehicle roadworthy
  • Maintain confidentiality regarding information obtained while performing official duties
  1. Staff and material transportation
  • Transport passengers and cargo in a safe, timely and professional manner.
  • Assist with loading and unloading of cargo and passengers.
  • Support trip or route planning to ensure efficient fuel consumption
  • Assist with transportation of documents, equipment and other authorised materials
  1. Programme/administration support
  • Serve as a driver/messenger, support smooth and quick dispatch and delivery of documents between Plan and other stakeholders.
  • Driving office vehicles for the transport of authorized personnel and delivery and collection of mail, documents and other items.
  • Demonstrates a client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work with a diversity of people and clients.
  • Identify, report to the administration assistant, and supervise minor office repairs and maintenance including doors, ACs, lights, electric fittings, electricity, furniture, photocopiers, office communication system etc
  • Manage daily usage of office ACs and lights in the office to ensure they are on when it is necessary and off on time
  • Support office administration to ensure reliable utility supply, communication systems, report and work with technicians to rectify electricity, water supply faults etc, engage the technicians to report issues as may be guided
  • Support periodic checking of the asset condition, support asset tagging, report asset and equipment conditions for necessary repairs
  • As relevant support sponsorship communication activities at the field level including the collection and submission of To-do-list, Sponsored Child (SC) questionnaires, letters, and National Office Inquiries (NOIs), in collaboration with CPCs and Program Interns as guided
  • Support front desk operations in absence of the administration assistant as may be needed
  • Provide support to the office/ project teams on logistical arrangements for trainings, workshops, field visits, stakeholder meetings, attendance registration, meeting venue set up and other project activities.

Education and Experience

  • Education: Diploma or equivalent
  • License: Valid, clean professional driving license (appropriate class for passenger vehicles).
  • Vocational training on basic vehicle maintenance skills.
  • Very good knowledge of driving rules, regulations and courtesies.
  • Safe and good driving record.
  • Ability to manage minor vehicle repair.
  • Experience in field logistics support.
  • Functional knowledge of the English Language both in speaking and writing.
  • A minimum of five years of experience in vehicle driving preferably in humanitarian and development sector/working with INGOs
