Duties and Responsibilities:

  • This is technical work requiring independent judgement in examining various business entity and financial filings, service or process and apostille/notarial requests for quality assurance and legal compliance in the Division of Corporations/Records Certification section.
  • Receives and examines corporate, limited liability company, limited partnership, general partnership and fictitious name filing requests; certification requests, apostille/notarial requests; and service of process requests from the public via front counter. Reviews documents, calculates and receives all fees required by statute. Determines what categories in the data base to input filing fees. Validates documents with validation number and document tracking number then forwards to the appropriate filing sections for processing. Balance and batch checks, then forward them to the Fiscal Office for deposit. Provides assistance the public at the front counter with questions and appropriate filing forms or request documents and fees. Provide assistance and information on the location of other offices that may require a filing after filing with the Division. Process certification of records, apostille/notarial certification and service of process filings. Examines and analyzes related information to determine compliance with laws and rules. Makes determinations requiring applications of diverse law and polices and provides technical assistance to attorneys and others to correct defects and to assist as necessary. Identifies defects and deficiencies and communicates verbally and in writing with attorneys, commercial and governmental entities, and applicants to assist in clarifications and verbal corrections. Computes and verifies proper fees have been paid. Assist callers and clients at the public counter with questions regarding certification of records, apostille/notarial certification and service of process filings. Independently conducts post-filing review of records for quality assurance. Maintains records and statistic of filings received, approved or rejected, utilizing a complex interactive computer database. Performed independent research and verifications of corporate documents. Make copies and corrections as necessary and prepare correspondences.
  • Performs other work-related duties as required.

  • Knowledge of various business filings and related documents
  • Ability to review data for accuracy and completeness
  • Ability to establish and maintain working relationships
  • Ability to communicate both verbally and in writing
  • Ability to perform basic arithmetical calculations
  • Ability to utilize a computer data base
  • Knowledge of principles and techniques of effective verbal and written communication
  • Knowledge of legal terminology.
