Job Description

Key Accountabilities

  • Sales Order Processing & Coordination:
    • Process and follow up on sales orders from customers, ensuring all necessary documentation is in place.
    • Work closely with Finance and Operations teams to confirm order approvals, delivery schedules, and invoicing details.
    • Coordinate product deliveries and services with logistics and other departments.
    • Maintain accurate sales data and sales pipeline updates in CRM tools.
  • Customer Support & Inquiries:
    • Act as a liaison between customers and the sales team, addressing queries and providing information on product availability, pricing, and order status.
    • Handle customer complaints or issues and escalate to the appropriate team when necessary.
    • Provide administrative support for customer onboarding, including data entry, documentation, and updating customer records.
  • Sales Team Assistance:
    • Prepare sales reports, presentations, and other documents required by the sales team.
    • Manage and track sales team activities, meetings, and schedules.
    • Assist in managing sales leads, ensuring timely follow-up and conversion into actual sales.
    • Prepare and send out quotes, proposals, and other sales-related materials to customers.
  • Sales Coordination & Reporting:
    • Maintain and update sales reports, tracking progress towards sales targets and quotas.
    • Ensure timely follow-up on pending deals or opportunities.
    • Analyze sales data and trends to support decision-making for the sales team.
  • Cross-Departmental Communication:
    • Coordinate with marketing, customer service, logistics, and other departments to ensure smooth sales operations.
    • Ensure all required internal and external communications are aligned with company processes and timelines.
  • Required Skills and Competencies:
    • Strong communication and interpersonal skills.
    • Ability to multitask, prioritize, and manage time efficiently.
    • Attention to detail and accuracy in data entry and reporting.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM systems (Salesforce, HubSpot, etc.).
    • Problem-solving skills and ability to work under pressure.
    • Strong organizational skills with a proactive approach to work.
    • Ability to work both independently and as part of a team.

Qualifications:

  • Bachelor’s degree.

Experience:

  • 1-2 years of experience in sales support, customer service, or administrative roles preferred.

Skills

  • Experience with CRM software and Microsoft Office applications is a must.
  • Knowledge of sales processes, and customer relationship management is a plus.
  • Good time management, communications skills, presentation, self-motivated and who can work under pressure.
