The Donor Relations Executive will support donor relationship management by coordinating grant proposals, donor reporting, grant tracking, and stakeholder communications. The role involves working closely with the Fundraising, Program, Finance, and Field teams to ensure timely delivery of donor commitments, maintain accurate donor records, and contribute to building strong relationships with CSR partners and institutional donors.

Key Responsibilities

1. Donor Management & Retention

  • Build and maintain strong relationships with existing CSR partners, foundations, and institutional donors to ensure grant renewals and long-term partnerships.
  • Coordinate donor engagement activities and maintain donor trackers, grant records, and reporting schedules.
  • Support the preparation of MoUs, partnership agreements, and other donor-related documentation.
  • Strengthen donor management systems and recommend improvements to fundraising processes.
  • Travel to donor offices and project locations, as required, to strengthen relationships and gain a deeper understanding of project implementation and impact.

2. Proposal Development & Fundraising

  • Identify and develop new funding opportunities from CSR partners, foundations, trusts, and other institutional donors in collaboration with the Fundraising Team.
  • Prepare high-quality proposals, concept notes, presentations, grant applications, and project budgets in collaboration with the Program and Finance teams.
  • Contribute to annual fundraising plans and donor engagement strategies.

3. Grant Tracking & Impact Reporting

  • Track project progress, budgets, and donor commitments to ensure strict compliance with grant requirements.
  • Work closely with the Program, Finance, Research, Communications, and Fundraising teams to develop impact reports, presentations, and success stories for donors.
  • Maintain accurate donor trackers for effective grant management and timely reporting.

Core Competencies & Skills

  • Relationship & Stakeholder Management: Proven ability to build rapport with CSR partners, institutional donors, and internal cross-functional teams.
  • Grant & Proposal Writing: Strong capability in drafting high-quality proposals, concept notes, and grant applications.
  • Financial Literacy: Solid understanding of budgeting and financial tracking related to project grants.
  • Communication & Storytelling: Exceptional written and verbal communication skills with a knack for data analysis and impact storytelling.
  • Organization & Execution: Strong planning, coordination, and problem-solving skills with high attention to detail.

Qualifications & Experience

Technical Skills

  • Essential: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Preferred: Experience using AI tools (such as ChatGPT, Microsoft Copilot, Gemini, etc.) for research, proposal writing, reporting, presentations, and general productivity.
