Under the direction of the Vice President of Development, the Donor Engagement & Stewardship Coordinator provides administrative and coordination support for donor stewardship and engagement activities across the YMCA of Greater Rochester. The Coordinator carries out established stewardship processes, prepares donor communications and recognition materials, coordinates donor events and giving society activities and maintains accurate donor engagement-related information. This position works closely with Development staff to ensure stewardship activities are completed accurately, consistently and on schedule. This position plays a key role in delivering consistent, high-quality support that aligns with the YMCA’s mission and values.

ESSENTIAL FUNCTIONS:

· Implement established donor stewardship activities and donor touchpoints according to the annual stewardship plan and schedule.

· Prepare acknowledgment letters/receipts, thank-you communications, donor mailings, e-newsletters and other stewardship materials.

· Coordinate donor recognition activities, including preparing and updating recognition lists, donor boards, signage and other materials.

· Maintain giving society membership lists and coordinate communications, mailings, recognition and other established benefits for society members.

· Coordinate administrative and logistical details for donor stewardship events, including invitation lists, invitations, RSVPs, nametags, materials, vendors, setup and follow-up.

· Provide administrative and logistical support for the donor webinar series, including invitations, registration, materials and follow-up communications.

· Maintain donor engagement and stewardship information in Raiser's Edge and other tracking tools.

· Prepare donor lists, reports and other information needed for stewardship activities and communications.

· Gather donor stories, testimonials, photos and program information from Association and branch leadership for use in stewardship communications and impact reporting.

· Assist with the preparation and distribution of donor impact reports and other stewardship materials.

· Provide administrative and logistical support for staff giving and other Development activities as assigned.

· Maintain the donor stewardship calendar and track deadlines and activities to help ensure established stewardship touchpoints are completed on schedule.

· Participate in required meetings, trainings, and professional development opportunities.

· Perform other duties as assigned in support of department operations and the YMCA mission.

Requirements

· Associate’s degree or related experience.

· 1-2 years of experience in donor relations, stewardship, fundraising or related field.

· Strong organizational skills with attention to detail and accuracy.

· Strong written and verbal communication skills.

· Ability to follow established processes, take direction and complete assignments accurately and on schedule.

· Ability to handle multiple priorities and work collaboratively with staff across the Association.

· Experience with database entry, recordkeeping and reporting preferred.

· Experience supporting events, mailings and communications preferred.

· Ability to handle donor and organizational information with discretion and confidentiality.

· Must have a personal vehicle and the ability to travel locally when needed.

PHYSICAL REQUIREMENTS:

· Must be able to stand or sit for the duration of the shift

· Must be able to bend and stoop occasionally

· Must be able to lift at least 45 pounds occasionally

· Must be able to travel from branch to branch.
