The Donor Database & Gift Processing Manager (Donor Database Manager) plays a key role in advancing the YMCA of Greater Louisville’s philanthropic goals by ensuring accurate, strategic, and insight-driven donor information. This position manages the integrity of fundraising data, supports gift processing and reporting, and provides prospect research that strengthens the work of frontline fundraisers and branch leaders.



As the Y’s primary expert in Blackbaud Raiser’s Edge NXT and related CRM tools, the Donor Database Manager transforms data into meaningful analysis, profiles, and reports that enhance donor engagement, stewardship, and campaign performance. The ideal candidate is collaborative, detail-focused, and committed to leveraging data to elevate the Y’s overall fundraising effectiveness.

Responsibilities:

  • Manage all aspects of the Raiser’s Edge database including data entry, constituent record updates, gift processing, and list generation.
  • Maintain data integrity and perform regular data clean-up and audits.
  • Process and acknowledge gifts, pledges, and recurring donations in a timely and accurate manner.
  • Generate reports for fundraising campaigns, donor segments, appeals, and board presentations.
  • Collaborate closely with Finance and IT—and in coordination with Marketing and Operations as needed—to support aligned systems, workflows, and reporting that ensure accurate gift reconciliation, strong data integrity, and timely revenue and campaign insights for the Development team.
  • Develop and manage queries, exports, and mailing lists for direct mail, email, and event invitations.
  • Support prospect research and donor analysis using Raiser’s Edge and online tools.
  • Train staff on database procedures and best practices as needed.
  • Maintain confidentiality of donor records and adhere to YMCA data privacy policies.
  • Stay current with Raiser’s Edge updates and recommend improvements for database efficiency.
  • Assist in the acknowledgment process and ensure timely tribute notifications and processing logistics.
  • Work with Microsoft Excel, Teams, Red Arc, ThankView, Daxko, and prospecting tools (as needed) to manage, analyze, and communicate data effectively.
  • All other duties as assigned.

Qualifications

  • Bachelor’s degree preferred; experience may be considered in lieu of a degree.
  • Minimum 3-5 years of experience in donor database management, fundraising operations, or data analysis in a nonprofit setting.
  • Familiarity with Blackbaud Raiser’s Edge NXT or similar CRM platforms.
  • Strong understanding of donor segmentation, data integrity, and fundraising cycles.
  • Proficient in Microsoft Excel and Microsoft Teams; experience with communication and development tools like Give Lively, Instrumentl and Daxko preferred.
  • Excellent analytical and problem-solving skills with strong attention to detail.
  • Ability to work collaboratively with cross-functional teams and adapt to a fast-paced environment.
  • High level of discretion with confidential donor and financial information.
  • Strong organizational skills, initiative, and follow-through.
