About the Role

We’re looking for a sharp, proactive Domestic Operations Specialist to join our Operations team and own our Amazon fulfillment workflow! In this role, you'll ensure seamless supply chain execution by managing the entire purchase order lifecycle via NetSuite and collaborating closely with our 3PL partners to hit tight delivery schedules. From diagnosing EDI errors and mitigating Amazon chargebacks to analyzing PO cuts and maintaining top-tier compliance, you will act as the operational anchor for one of our fastest-growing accounts. What You’ll Do

  • Process purchase orders for shipment, ensuring accuracy and timely submission to maintain seamless operations.
  • Manage these orders via NetSuite (ERP software) and other channels, by regularly updating the status of orders at every stage of processing to ensure transparency and efficiency.
  • Communicate order statuses to customers and the sales team, and respond to customer inquiries promptly to maintain clear and effective communication.
  • Collaborate closely with 3PL partners to ensure that fulfillment is completed on schedule and that shipments are dispatched accurately and on time.
  • Monitor and ensure adherence to all customer requirements, including product compliance, shipping regulations, and invoicing standards.
  • Prepare and send sales confirmations, packing lists, and commercial invoices to customers, ensuring accuracy in all documentation.
  • Own your accounts by helping monitor, diagnose the root cause and rectify EDI errors and chargebacks.
  • Be able to perform basic analysis to report out to cross functional partners on PO cuts, inventory availability, etc.
  • Complete special projects and ad hoc responsibilities as needed.

Who You Are

  • 3+ years experience in an operations or logistics role, ideally in a consumer goods company that partners with major retailers such as Amazon, Target, Walmart, Costco, etc.
  • Experience working directly with Amazon Vendor Central is highly preferred.
  • Detail oriented with experience in maintaining spreadsheets or databases to track orders, inventory, or similar data. Experience with Netsuite is a plus.
  • Comfortable working cross functionally with exceptional communication skills across both internal and external teams.
  • Demonstrated ability to manage tight deadlines and solve problems proactively, especially in a fast-paced environment where coordination with multiple teams is required.
  • Ability to embrace transparency and adapt to shifting priorities, while learning from each decision and maintaining focus on progress.

Leapfrog is currently operating under a hybrid work model, and this position will report on site to our Lincoln Park office at least 2 days per week. Additional ad-hoc in office days may be required based on business needs. Please do not apply if you are not comfortable with a hybrid work model.

Salary Band

$65,000 - 75,000, full-time, salaried, exempt, hybrid

Please note: Most candidates can expect to be positioned within the low to mid-range of the designated compensation band. This approach is designed to set realistic expectations while providing employees with the opportunity for growth and development within their roles. Placement toward the higher end of the band may be considered based on relevant experience, specialized skills, and other qualifications.
