Target Range:

$25.00/Hr. - $34.26/Hr.

Actual starting pay will vary based on factors including, but not limited to, geographic location, experience, skills, specialty, and education.

Eligible for an Annual Discretionary Cash Bonus Target: 10%

Eligible for an Annual Discretionary Restricted Stock Units Bonus Target: 10%

These discretionary target bonuses may be awarded semi-annually based upon your achievement of performance goals and targets.

About This Job

The Documentation Specialist II is responsible for reviewing, analyzing, and preparing commercial equipment lease documentation to ensure accurate and timely transaction closings. This role evaluates credit approval requirements, verifies satisfaction of funding and closing conditions, and reviews third-party documentation to ensure compliance with company policies and a clean closing process. The Documentation Specialist II partners closely with sales, credit, customers, vendors, and internal stakeholders to coordinate documentation, resolve issues, and meet customer expectations. This position also supports effective risk management by identifying potential issues, escalating concerns, and maintaining a strong commitment to compliance, operational accuracy, and exceptional customer service.

Responsibilities:

  • Reviews documentation requests that contain vendor purchase orders/invoices and pricing, and determines due diligence requirements against the final credit approvals
  • Requests and interprets third-party vendor information against the documentation request package for accuracy on customer and collateral; completes all necessary due diligence on third-party vendors per established processes
  • Completes required system data entry and determines the correct documents to use based on prior due diligence, processing documentation to the correct party as described in the documentation request
  • Coordinates with third-party vendors and customers to determine a closing date
  • Follows up with the customer or agent to confirm accurate and active insurance
  • Gathers all required elements to ensure a clean close, including accurate data entry for funding
  • Processes the booking of a transaction through a servicing agent
  • Clears any post-close items and all system alerts within 5 business days of final booking
  • Independently manages workload by monitoring incoming documentation requests and tracking work in progress
  • Communicates with customers, sales, and third-party vendors on open items to meet closing timelines
  • Partners with internal service partners to complete transactions
  • Identifies and addresses exceptions and may resolve escalated items
  • May assist in training and onboarding of new hires
  • Provides responses and documentation for inquiries and ad hoc requests for one or multiple specialized programs
  • Provides feedback on workflow and work received
  • May participate in projects as a resource/subject matter expert
  • Works with in-house counsel when applicable
  • Other duties as assigned

Qualifications:

  • High school diploma or equivalent
  • At least 1 year of related experience in a similar field; a comparable combination of education and experience (including military) will be considered
  • Strong attention to detail and accuracy when reviewing legal, vendor, and credit documentation
  • Effective written and verbal communication skills for coordinating with sales, credit, customers, and third-party vendors
  • Ability to independently manage multiple transactions and deadlines
  • Familiarity with commercial equipment leasing/finance documentation and closing processes is a plus
  • Experience with lien searches, UCC filings, and insurance verification preferred
  • Proficiency with document management and lease/loan servicing systems
  • Working knowledge of applicable regulatory and compliance requirements for commercial lending is a plus
