Main Accountabilities

Documentation Processing & Control

• Prepare and process daily local and export shipping documentation (non LC shipment) according to standard procedures and timelines.
• Check documentation for completeness and accuracy before submission or dispatch.
• Update and maintain documentation records in relevant systems and filing platforms.
• Highlight documentation discrepancies or delays to the immediate superior for resolution.

Shipping & Trade Documentation Support

• Prepare shipping instructions and supporting documents for export shipment
• Assist in compiling documentation sets including invoices, packing lists, Certificates of Analysis (COA),
• Certificates of Origin, ingredient/composition/manufacturing/content certificates, and other related documents.
• Support amendments or corrections to shipping documents when instructed.

Dispatch & Customer Support

• Issue shipment tenders and scanned documents to customers after confirmation, following established procedures.
• Respond to routine customer queries related to shipment documentation and status.
• Assist in updating customers on shipment schedules, onboard status, or delays based on available information.

Filing, Compliance & Housekeeping

• Ensure proper scanning, filing, and retention of all documents in line with audit and compliance requirements.
• Maintain organized documentation records for easy retrieval and audits.
• Follow internal documentation, compliance, and safety guidelines at all times.

Education & Experience

1. Diploma or Certificate in Business Administration, Logistics, Supply Chain, or a related field.
2. Minimum 1–2 years of experience in documentation, logistics, shipping, or supply chain support roles is preferred.
3. Proficiency in English (spoken and written).
