The Document Management Supervisor oversees daily operations of the document management team, ensuring efficient processing, compliance, and workflow optimization. This role partners closely with Corporate Sales Support and the Remote Online team with implementing processes and procedures within the department.
What You Will Do:
Lead and supervise the document management team, providing direction, coaching, and performance feedback
Oversee daily task assignment and ensure timely, accurate completion of document-related activities
Collaborate with Corporate Sales Support to facilitate proposals and sales processes
Collaborate with Remote Online team to ensure all required documentation is submitted on time for transactions
Conduct regular team meetings to review progress, address challenges, and align priorities
Lead, coach, and support team members to achieve performance goals
Assign work based on team capacity, skills, and priorities
Train new employees and support ongoing team development
Ensure adherence to company policies, procedures, and compliance standards
Identify process improvements and implement best practices to increase efficiency
Resolve employee issues, conflicts, and day-to-day operational challenges
Communicate effectively with leadership and cross-functional teams
Maintain expertise in document management standards, processes, and legal/compliance requirements
Monitor team performance metrics and implement improvements to increase efficiency and quality
Identify workflow gaps and implement best practices to streamline operations
Manage and track bonus reporting, review and process invoices, and ensur all related documentation and approvals are completed accurately and timely.
You will be responsible for running reports, monitoring productivity and performance metrics, analyzing trends, and providing operational insights and recommendations as needed.
Develop and maintain SOPs, process documentation, and training materials to support team operations and ensure compliance with company procedures. Provide leadership support for process improvements, training initiatives, and special projects as needed

What You Will Bring:
Minimum 6 months to 1 year of related experience and/or training; or equivalent combination of education and experience.
Previous supervisory experience preferred.
Strong organizational and time management skills.
Ability to manage inventory and shipping logistics effectively.
Basic computer proficiency (Microsoft Office Suite preferred).
Excellent communication and interpersonal skills.
Ability to lead and motivate a team to meet production goals.
High attention to detail and accuracy.
