Job Description

This on-site role supports the electronic health record (EHR) team by clearing a backlog of clinical and administrative documents that need to be accurately scanned, triaged, and routed into the EHR system. Working primarily within a document management platform, you will identify incoming healthcare documents, apply processing rules, and ensure they are correctly moved into the patients electronic medical record and appropriate internal workflows. This is an entry-level EHR technology position that requires prior experience in a healthcare setting, such as working in a medical practice as a receptionist, scheduler, or medical assistant.

Responsibilities

  • Work inside the Highland OnBase document management system to process assigned batches of incoming documents.
  • Identify document types (such as workers compensation forms, external consult notes, physician signature requests, and other clinical or administrative records) and determine the correct routing destination.
  • Apply established processing rules to each document and move it into the appropriate channels and teams within the organization.
  • Ensure documents are accurately attached and integrated into the patients electronic medical record (EMR).
  • Handle documents received from external sources via fax and triage them to 14 designated special teams or front desk workflows as required.
  • Maintain a strong focus on accuracy, reliability, and customer service while working through document batches.
  • Collaborate with a full-time trainer and team members to ask questions, clarify processes, and continuously improve document processing quality.
  • Follow all documented procedures and guidelines for EHR and document management workflows to support timely and compliant patient record updates.

Essential Skills

  • Prior experience working in a healthcare practice, such as in a receptionist, scheduler, or medical assistant role.
  • Strong reliability and commitment to completing assigned work accurately and on time.
  • Customer serviceoriented mindset, with the ability to support internal stakeholders and patient-facing teams through accurate document handling.
  • Ability to work within electronic medical record (EMR) systems and understand basic healthcare documentation workflows.
  • Comfort working in a structured document management environment, processing batches of work and following defined rules.
  • Attention to detail and ability to accurately identify different types of healthcare documents and their appropriate routing.
  • Willingness to learn and use Highland OnBase or similar document management platforms.

Additional Skills and Qualifications

  • Experience with Highland OnBase is highly recommended and considered a strong plus.
  • Experience with Epic or other electronic medical record systems is a plus.
  • Demonstrated success in prior contract or temporary roles is beneficial.
  • Familiarity with handling faxed healthcare documents and integrating them into electronic workflows.
  • Comfort working in an entry-level EHR technology position with structured training and oversight.

Pay and Benefits

The pay range for this position is $19.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
