Job Description

A leading engineering company based in Mullingar is keen to hire a Document Controller / Assistant Engineer to join their Service Department. This role supports the day-to-day running of service and maintenance operations, including scheduling work for technicians, preparing quotations and RAMS, managing job documentation and providing administrative support across the department. This is a full-time role, 40 hours per week (Monday to Thursday, 8am to 5pm; Friday, 8am to 3.45pm), reporting to the Service Manager. Excellent computer skills are essential, and a mechanical or technical background is an advantage.

Key Responsibilities

  • Coordinate and schedule planned maintenance, reactive call-outs and follow-up works for technicians.
  • Manage technician diaries, allocating jobs based on location, availability and skills.
  • Liaise with customers, technicians and suppliers by phone and email to arrange visits and provide job updates.
  • Create, update and manage job records using the in-house system, maintaining accurate documentation at all times.
  • Prepare and issue RAMS, ensuring required documentation is in place before works commence.
  • Prepare quotations based on job reports and customer requirements.
  • Order and track parts and materials required for jobs.
  • Process customer purchase orders and job costing information required for invoicing.
  • Provide administrative support to the Service Manager and wider team using Microsoft Office and company systems.

Requirements

  • At least 1 year's experience in an administrative, office-based or coordination role.
  • Excellent computer skills, with strong knowledge of Microsoft Office, including Outlook, Word and Excel.
  • Ability to learn and use new software and job management systems quickly.
  • Strong organisational and time management skills, with a high level of accuracy in managing information.
  • Ability to manage multiple tasks and work to deadlines.
  • Good written and verbal communication skills, with the ability to deal with customers, technicians and suppliers.
