The Opportunity

We are seeking a full-time Document Controller to support a major project pursuit over a six-month period. This role will be responsible for managing, tracking, and maintaining all project documentation and correspondence among the project team, client representatives, consultants, and external stakeholders.

Key Responsibilities

  • Maintain document control processes, including filing, tracking, version control, distribution, and archiving of project documents.
  • Manage and monitor incoming and outgoing correspondence, ensuring timely distribution and accurate records.
  • Maintain document registers, transmittals, meeting records, RFIs, submissions, and other project-related documentation.
  • Ensure all team members are working from the latest approved documents and templates.
  • Support proposal, technical, and commercial teams by organizing and maintaining project information.
  • Produce regular document status reports and assist with compliance to project document management requirements.
  • Facilitate efficient communication and information flow among project stakeholders.

Qualifications & Experience

  • Diploma or degree in Business Administration, Information Management, Engineering, Architecture, Construction Management, or a related field is preferred but not required.
  • 3+ years of document control, project coordination, or administrative experience in architecture, engineering, construction, infrastructure, or professional services environments.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams, SharePoint).
  • Experience with document management platforms such as Aconex, Autodesk Construction Cloud (ACC/BIM 360), Procore, InEight, ProjectWise, or similar systems is an asset but not mandatory.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
