What your day-to-day will look like:

  • Responsible for the full lifecycle management of client documents and engineering drawings, including creation, classification, archiving, storage, retrieval, and secure destruction.
  • Establish and maintain a document management system; develop document naming conventions, classification standards, and archiving procedures.
  • Manage CAD drawings in accordance with established standards; review layers, annotations, scales, and drawing frame specifications to ensure version control and data integrity; manage drawing revisions and distribution.
  • Create or modify basic CAD drawings as needed to support engineering changes and document updates.
  • Provide fast and accurate document retrieval and access services to support the business needs of all departments.
  • Enforce document confidentiality policies, set access permissions, and prevent information leaks or unauthorized access.
  • Cooperate with internal and external audits, provide required documentation, and ensure compliance with regulations and company policies.
  • Maintain document management systems (BIM 360, ACC, SharePoint, etc.) and optimize electronic storage and workflows.
  • Conduct training on document management standards for employees to enhance company-wide awareness of document management.

Required Qualifications:

  • Associate degree or above; majors in Archive Management, Information Management, Engineering, or related fields preferred.
  • 1–3 years of experience in document or records management.
  • Proficient in Microsoft Office applications.
  • Fluent in Mandarin; Good English listening, speaking, reading, and writing skills.
  • Proficient in AutoCAD; Skilled at reading CAD drawings with solid understanding of layers, annotations, scales, title blocks, and dimensional tolerances; Capable of basic CAD drafting and able to independently produce or modify simple drawings.
  • Meticulous and logical, with strong abilities in information classification, organization, and problem-solving.
  • Strong sense of confidentiality and accountability; excellent communication, coordination, and cross-functional collaboration skills.

Preferred Qualifications:

  • Work experience at a multinational professional services firm or real estate consulting firm.
  • Experience in a leadership role in records management and/or construction document management.
  • Familiarity with compliance standards such as ISO 9001; experience in construction projects.
