John Holland is currently seeking a Dynamic Document Controller to join the team working out of our Perth CBD offices.
Key responsibilities of the role include:
-Document control management: Establish, maintain and administer document control systems to ensure accurate, secure, and traceable management of project records and documentation
-Document processing: Register, track, distribute, archive and retrieve project documentation (drawings, technical documents, correspondence, reports) in accordance with project procedures
-Quality and compliance: Ensure all documentation complies with project, client and rail regulatory requirements, including version control and audit readiness
-Project administration support: Provide administrative support to the project team including, reporting, and preparation of project documentation. Assisting with adhoc duties such as PPE ordering, updating matrix and registers.
-Communication coordination: Liaise with internal teams, subcontractors and external stakeholders to ensure timely submission, review and approval of documents
-System management: Maintain and update document management systems (e.g., Aconex, SharePoint or similar), ensuring data integrity and accessibility
-Reporting: Generate reports on document status, workflows, overdue items, and compliance metrics
-Audit and assurance: Support internal and external audits by ensuring document availability and compliance with rail industry standards
-Stakeholder support: Assist project teams, engineers and managers with document access, formatting, and procedural guidance
-Continuous improvement: Identify opportunities to improve document control processes, workflows, and administrative efficiencies
-Compliance and safety: Perform all duties in accordance with organisational policies, rail safety requirements, and project procedures
-Proven experience as a Document Controller or similar role, with additional experience in administrative duties, preferably within the construction industry.
-Proficient with document control softwares, as well as Microsoft Office Suite.
-Excellent organisational skills with a keen attention to detail. A motivated team member who can assist the project team with additional administrative tasks. You would be enthusiastic in also learning other aspects of the project such as some booking of travel and accommodation and some adhoc tasks.
-Tertiary qualifications in Business Administration or Information Management is desirable
