Job Title – Document Controller (Real Estate Development & Construction)
Location: Abu Dhabi, UAE
About the Role
We are seeking a highly organized and detail-oriented Document Controller to manage, maintain, and track all project documentation for construction and real estate development projects. The role ensures proper document control systems are followed, enabling efficient information flow, compliance, and accurate record-keeping across all project stakeholders.
Key Responsibilities
Document Management & Control
Manage the full lifecycle of project documents including creation, review, approval, distribution, and archiving.
Maintain an organized document control system for drawings, contracts, reports, and correspondence.
Ensure all documents are properly labeled, stored, and easily retrievable.
Track document versions and ensure only the latest approved versions are in use.
Drawing & Technical Document Handling
Control and distribute engineering drawings, shop drawings, and technical documents.
Ensure timely submission and tracking of documents between consultants, contractors, and project teams.
Maintain logs for drawings, revisions, and transmittals.
Ensure compliance with document submission procedures and approval workflows.
Coordination & Communication
Liaise with project managers, engineers, consultants, and contractors for document flow.
Ensure timely distribution of incoming and outgoing documents to relevant stakeholders.
Follow up on pending approvals, submissions, and document revisions.
Support project teams with document-related queries and requirements.
Compliance & Quality Control
Ensure documentation complies with project standards, ISO requirements, and company policies.
Maintain confidentiality and security of sensitive project information.
Conduct regular audits of document control systems for accuracy and completeness.
Support internal and external audits with required documentation.
Reporting & Tracking
Maintain document registers, logs, and tracking systems.
Prepare reports on document status, submissions, and approvals.
Monitor deadlines for document submissions and approvals.
Provide updates to project management on document control activities.
System & Process Management
Use document management systems (DMS) and software for efficient control and tracking.
Improve and maintain document control procedures and workflows.
Support digital transformation initiatives for paperless documentation.
Ensure backups and proper archiving of all project records.
Qualifications & Experience
Diploma or Bachelor's degree in Business Administration, Engineering, or related field.
3–7 years of experience as a Document Controller in construction, real estate development, or engineering projects.
Strong knowledge of document control procedures and construction documentation standards.
Experience with Aconex, Primavera, or similar document management systems is an advantage.
