As the Document Controls Specialist you will work closely with the Maintenance and Reliability teams to build and manage the Mechanical Integrity documentation program, ensuring regulatory and compliance documentation is consistent with site program standards. In this role you will be responsible for, but not limited to:
- Maintain detailed knowledge of Asset Integrity Management (AIM) Document Libraries design, function, purpose, and content requirements.
- Manage and track loading of Metadata for Mechanical Integrity (MI) documentation in the AIM Libraries (follow procedure) using the Tracking Spreadsheet.
- Maintain a list of missing documentation by equipment and seek documentation from hard copy files or through MI/Engineering resources.
- Establish and maintain a process for new documentation to be captured and loaded to the AIM Libraries.
- Scan existing hard copy documentation that is not already in the AIM Document libraries & Load to the appropriate libraries. Populate all fields and metadata.
- Own the Confirmed/Unconfirmed status of the documents in the AIM library.
- Available & consistent in responding to user questions.
- Manage the migration & eventual shutdown of MI SharePoint folders
- Monitor OE MOC PSI action items for required drawing updates and coordinate with Redliners for submission to Neilsoft.
- Coordinate with MOC owners and process engineers to utilize the Drawing Updating workflow.
- Monitor the SmartShare Hub for completed approved drawings for transfer and loading to the CHE SharePoint Document Library, including metadata population and updates.
- Drawings (per the AIM Library training) are loaded to the Drawing Library, and the place holder document is in the AIM library with a link to the drawing library (as designed).
- Enter training assignments for individual employees in OE Suites per established training matrices.
- Conduct regular audits of training records to ensure accuracy, completeness, and efficient access.
- Track & monitor training compliance. Publish regular and requested reports using the EHS dashboard or custom reporting.

Qualifications
- Bachelor’s degree preferred.
- Three to seven years of experience working in a document control function
- Demonstrated knowledge working with Microsoft Office Suite
- Experience reading project schedules.

- Previous document control experience.
- Previous experience working with confidential documentation and working in a fast-paced environment.
- Previous experience working in an industrial facility.
Physical Requirements:
- Ability to lift up to 25 lbs.
- Must be available to work extended hours during site maintenance opportunities.
