Job Description

Document & Business Solutions (DBS) is the company’s primary mail and print production provider for the firm, globally, operating across APAC, EMEA, Latin America (LATAM), and North America (NAMR) in more than 50 cities. DBS is responsible for providing vital products and services, including but not limited to, document design & creation, scanning & archiving fulfillment, hard-copy document digitization, messenger & courier services, mail/package distribution and more. Additionally, DBS manages and maintains the firmwide “Smart” suite of products, including SmartPrint (floor copiers/printers), SmartMail (mail digitization), and SmartDox (DBS’s online service platform), offering candidates the opportunity to contribute to a truly global, technology-enabled operations environment.

As a Document & Business Solutions Operations Specialist II in Document & Business Solutions (DBS), you will be expected to serve in a production capacity. Additionally, you may be required to work in any of the production locations/environments to meet the needs of the customer/company in delivering our products and services while meeting established SLAs, quality, and productivity standards. Some of the functions include but are not limited to:

Job Responsibilities

  • Manage mailroom counter operations and provide front-line support to employees
  • Scan incoming mail and distribute it using digital applications; sort, track, and record all incoming and outgoing mail and packages for compliance purposes.
  • Process outgoing shipments, ensuring timely dispatch and accurate documentation; collaborate with courier companies, postal agencies, and vendors as needed.
  • Handle administrative tasks, including reporting, invoice processing, and analytics
  • Maintain and operate mailroom equipment, ensuring proper functioning and timely maintenance
  • Manage inventory of assets and office supplies, conducting regular stock checks and replenishment
  • Coordinate device maintenance and troubleshoot network devices such as printers and lockers
  • Identify and resolve non-compliant activities, escalating issues as appropriate
  • Assist with training new mailroom staff or temporary workers
  • Perform messenger services as needed, including the secure delivery and pickup of documents (e.g., POA—Power of Attorney materials), in accordance with applicable policies, procedures, and control requirements.
  • Support the team with additional operational duties and special projects as assigned, ensuring timely execution and alignment with business needs.


Required qualifications, skills, and capabilities

  • Good customer service skills, with the ability to interact positively with employees and external partners
  • Strong organizational and time management skills
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously
  • Experience administrative work
  • Ability to follow directions, show initiative, and work under minimal supervision
  • Proficiency in Microsoft Office products (Excel, Word, PowerPoint, Outlook)
  • Comfortable with basic business technology and mailroom systems
  • Good verbal and written communication skills in Korean
  • Intermediate proficiency in English, both verbal

·Operating functional equipment
including postage, x-ray, inserting (where applicable), printing, scanning, and
other equipment.

·Receive and process all incoming and
outgoing work.

·Coordinate courier collection,
including required manifest(s) and documentation.

·Perform and maintain basic record
keeping and tracking of data as required by management.

·Identifynon-compliant
activities and escalate as appropriate.

·Print, finish and distribute all
print requests and documents.

·Perform Check Management in line
with all processing procedures (where applicable).

·Respond to all requests and
inquiries from end-users of DBS products and services.

·Manage other logistical functions
such as shuttle bus operations and overnight shipping.

·Handling of specialized items and
more complex inquiries, including possible extensive research.

·Resolving discrepancies and
performing escalations.

·Inventory management and fulfillment
for production centers.

·Other duties as assigned.

·May be required to alternate between
multiple locations within job location state/country to provide coverage as
needed as well as variation of work hours to conform to needed coverage.

·Ability to follow directions, show
initiative, work and perform duties under minimal supervision, and follow
through on tasks.

·Good customer service skills,
attentiveness, able to interact positively and pleasantly.

·Able to work productively in a
fast-paced team environment.

·Detail and deadline oriented with
strong emphasis on safeguarding all personal and confidential information.

·Intermediate understanding and use
of Microsoft Office products; (Excel, Word, Power Point, and Outlook; including
email & calendar).

·Must be comfortable with and have a
solid understanding of basic business technology.

·Good oral and written communication
skills.

·Able to lift and push items of
significant weight (up to 50 pounds).

·Able to stand and walk for long
periods of time.

·Able to resolve problems.

·Proactive to seek and participate in
cross training opportunities and willingness to utilize downtime to learn new
skills.

·Self-motivated with proven ability
to learn.

·Ability to recommend process
improvements.

·High school diploma or equivalent
required.

·Prior experience in a production
environment preferred.
