Doc Controller

Why This Role Matters

We’re looking for a motivated Consultant to provide critical project, proposal, and document control support across ERM’s Liability Portfolio Management and Remediation (LPMR) business. In this role, you’ll help ensure projects run smoothly from proposal development through execution and close‑out, supporting strong financial controls, high‑quality deliverables, and effective collaboration across teams.

Your work will directly support Project Managers, finance teams, and business developers, helping ERM deliver complex sustainability and remediation projects efficiently and consistently.

Key Responsibilities

Project & Financial Support

  • Support project progress and financial reviews, including time tracking, budget monitoring, and rate checks
  • Prepare weekly or monthly project status updates
  • Assist Project Managers with contract documentation and evidence for out‑of‑scope client requests
  • Support invoice preparation, approval confirmation, and escalation of issues as needed
  • Follow up on payments where not managed by Accounts Payable

Proposal & Business Development Support

  • Support proposal preparation, including case studies, CV formatting, templates, standard chapters, and reference archiving
  • Assist with pricing integration, including converting ERM pricing tools into client‑specific formats
  • Upload proposals into ERM systems (e.g., Commercial Hub)
  • Support scheduling and coordination activities related to proposals

Document Control & Quality Management

  • Edit and format project and proposal documents to ensure quality, consistency, and alignment with ERM branding
  • Perform translations using approved tools when required
  • Coordinate with Project Management and Finance teams to upload contracts into the Contract Repository
  • Maintain organized and accurate project records in line with ERM document control standards

Health, Safety & Project Close‑Out

  • Support logistics and health & safety documentation, including tracking near misses or incidents
  • Execute project close‑out checklists and ensure proper archiving of project documentation
  • Create project summaries, flyers, or case studies from completed projects for future proposals

Required Qualifications

  • 2–4 years of relevant experience in project support, consulting, professional services, or a similar environment
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint
  • Experience using Salesforce or similar CRM systems
  • Fluency in English (written and spoken)
  • Strong organizational skills with a proactive, detail‑oriented approach

Preferred Qualifications

  • Experience supporting project financial management, invoicing, or reporting
  • Additional language skills (Spanish, French, Italian, Portuguese, or Dutch)
  • Experience supporting consulting, engineering, or professional services teams
  • Familiarity with proposal development and document control processes
