How You’ll Make a Difference (Essential Functions)
The DME Manager is responsible for warehouse and logistics operations of Agrace’s durable medical equipment (DME) program including oversight of staff and processes to safely store, deliver, and set up equipment in patient homes. This position is responsible for customer satisfaction, program compliance with applicable standards, inventory control, and budget management.
Key Responsibilities
- Manage Staff
- - Hire, train, engage and retain department staff.
- - Assign, direct and verify the work of direct reports.
- - Assess staff performance and provide feedback, coaching, correction and development opportunities.
- - Coordinate onboarding and training of new hires.
- - Ensure staff are trained on applicable regulatory requirements, safety standards, and in-house policies/procedures/protocols.
- DME Program Management
- - Ensure readiness of DME program for accreditation and licensing surveys and inspections.  Ensure compliance with applicable regulations.  Assume accountability for corresponding DME program standards and policies/procedures/protocols.  Ensure patient and staff safety.
- - Provide education and outreach to clinical teams.
- - Monitor and respond to customer service concerns including follow-up of issues reported in quality reporting system.
- - Accurately process requests for DME using established order tracking and route planning systems to ensure timely delivery and pickup of equipment.  Ensure consistency of data in DME computerized tracking system(s).
- - Perform DME Technician tasks to ensure regularly scheduled shifts are filled.
- Inventory, Budget, & Supply Management
- - Develop and maintain vendor and contractor relationships and contracts.
- - Ensure inventory management including leading an annual physical count audit.  Track equipment usage and loss trends and provide recommendations for annual budgeting based on equipment needs.
- - Purchase equipment and supplies to maintain minimum stock and assure timely order fulfillment.
- - Evaluate equipment and, in collaboration with clinical teams, make recommendations for changes for improvement.
- - Manage the DME department budget(s).  Make recommendations for cost containment and participate in the annual budgetary process.
- Customer Service
- - Ensure customer satisfaction, seek customer feedback, and implement best practices for service excellence.
- - Collaborate with clinicians as needed to determine delivery/pick-up schedules and troubleshoot equipment questions and concerns.
- - Provide phone support for customer issues and troubleshooting of equipment.
- - Coordinate and schedule technician’s delivery schedules and routes based on patient needs, availability, and expertise.
You Bring (

Qualifications)
- High school diploma or GED required, Associate's degree or higher preferred
- Three to five years of related experience, required
- Two years of experience managing employees and/or volunteers, required
- Valid driver’s license, auto insurance, and access to a reliable vehicle, required
- Intermediate Microsoft Office Suite skills
- Ability to work effectively and cooperatively with others
- Experience using industry-specific software
- Ability to communicate financial/ business/ technical/ clinical information effectively to all levels of the organization, both verbally and in writing
- Ability to be flexible in time and task to meet organizational needs
- Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property
- Ability to work at various Agrace locations.
- Ability to use proper body mechanics and standard precautions
- Experience in project management, strategic planning and execution, budgeting, and controlling costs
- Ability to engage staff in Agrace’s strategic and annual operating plans and LEAN projects and to ensure strategies and improvements remain in practice
- Ability to participate in the DME program weekend rotation and on-call responsibilities
