Division Support Coordinator

An exciting opportunity is available for a Division Support Coordinator to join the Division Support Department at Australia’s pre-eminent biomedical research institute.

About the Position

The Division Support Coordinator provides leadership, coordination and oversight of Division Support Officers to ensure the core operating rhythm for Divisions is delivered consistently and effectively.

Reporting to a Division Manager, the role is responsible for maintaining high-quality execution of divisional planning, governance and operational processes, while also directly supporting more complex or high-impact activities across the Support Officers.

The role acts as a central point of coordination and quality control across divisional support, ensuring consistency of approach, adherence to agreed systems and processes, and continuous improvement of ways of working.

It combines hands-on delivery of an assigned Division and Themes with leadership of support staff, enabling the Divisions to operate effectively within a self-service Professional Services model.

Selection Criteria
Essential Knowledge and Skills:

  • Demonstrated ability to coordinate or lead the work of others in a team environment.

  • Ability to provide guidance, feedback and support to others to achieve consistent outcomes.

  • Strong judgement in prioritising work and allocating effort across competing demands.

  • Demonstrated experience in an administrative, operations or business support role within a complex organisation or a combination of relevant skills and experience

  • Strong organisational skills with the ability to manage recurring cycles, deadlines and documentation.

  • High attention to detail and commitment to accuracy and process discipline.

  • Confidence using common office systems, document management tools and collaboration platforms.

Personal Qualities:

  • Reliable, organised and systems oriented.

  • Comfortable operating with clear boundaries and reinforcing agreed ways of working.

  • Calm, professional and service-minded without being reactive.

  • Collaborative and respectful in working with diverse stakeholders.

​​​​​​​ Terms of Appointment
This position isfor 12 monthsin a full time capacity Salary is Professional Services Employee Level 6 ($97,990 - $106,069). Very attractive salary packaging options are available for general living expenses, meal entertainment, novated leasing and more. 12% superannuation payable, plus up to a further 5% after the first 6 months of service via our matching superannuation scheme.
