Job Title: District Fixed Asset Clerk

Reports to: Chief Financial Officer

Receives Guidance From: Chief Financial Officer, Assistant Chief Financial Officer

Overtime Status: Compliant with position, salary and FLSA regulations

Job Purpose:

The District Fixed Asset Clerk is responsible for maintaining the District's fixed asset database, ensuring accurate records of all capital assets, and managing asset additions, transfers, and retirements. This position coordinates asset retirements for auction when applicable, conducts annual fixed asset audits, and provides support to the Accounts Payable Clerk as needed.

Duties and Responsibilities:

  • Maintain and update the District's fixed asset database, ensuring accuracy and compliance with accounting standards and District policy.
  • Process all fixed asset additions, transfers, and retirements in a timely manner.
  • Coordinate the disposal of retired assets, including preparation and submission for auction when appropriate.
  • Conduct and assist with annual fixed asset audits, including physical inventory verification at schools and departments.
  • Reconcile asset records with financial data to ensure accuracy and completeness.
  • Prepare reports on fixed asset activity for District administration, auditors, and state reporting.
  • Train and support school and department staff on fixed asset procedures.
  • Ensure compliance with federal, state, and District regulations related to asset management.
  • Assist the Accounts Payable Clerk during peak times or as assigned.
  • Maintain confidentiality
  • Regular, dependable, in person attendance is an essential function of this position
  • Perform such other and not specifically enumerated duties as may be requested by the Board of Education, superintendent, administrator, director or established by district policy
  • Read, understand, and abide by Employee Conduct Policy, all other district, state and federal policies, and procedures and protocols as established by LCSD and the Mississippi Educator Code of Conduct

Knowledge, Skills and Abilities:

  • Knowledge of fixed asset accounting principles, inventory management, and audit procedures.
  • Strong organizational and record-keeping skills with attention to detail.
  • Ability to reconcile financial data and identify discrepancies.
  • Proficiency in financial/accounting software and Microsoft Office (Excel required).
  • Ability to communicate effectively with staff, vendors, and auditors.
  • Strong problem-solving skills and ability to meet deadlines.
  • Ability to maintain confidentiality of financial and asset records.
  • Ability to work independently and collaboratively as part of a finance team.

Qualifications:

  • High school diploma or equivalent required; associate's degree in accounting, business, or related field preferred.
  • Minimum of 2 years of experience in accounting, bookkeeping, or asset management preferred.
  • School district or governmental accounting experience preferred.
  • Experience with fixed asset systems, inventories, or audits desirable.
