Job Description

Each year Scholastic Book Fairs, in partnership with schools across the country, hosts more than 100,000 book-sale events that give more than 35 million students and their families access to thousands of affordable and educational products, helping foster a lifelong love of reading.

We are currently in search of a Distribution Coordinator Specialist to support our local distribution team. This position will be located in Orlando FL This full-time position offers medical, dental and vision benefits, Paid Time Off, a generous 50% off discount on Scholastic merchandise, and a 401k.

Qualified candidates will support distribution operations through data reporting and analysis, cross-functional coordination, and administrative support. Assists with safety, compliance, and process improvement initiatives; manages driver timekeeping and compliance reporting; and coordinates documentation, meetings, and travel to support overall operational performance.

Responsibilities Include:

  • Provide direct support to the Distribution Leadership team through data collation to identify and understand business patterns-trends.
  • Create and maintain distribution reports (Scorecards, Dashboards, Distribution reporting, assessment, etc.) and provide trending to ADSs to drive functional results beyond projected expectations.
  • Manage effective, continual inter-personal communication flow between Sales, Operations, Transportation and outsource providers as directed by the Distribution Leadership team.
  • Support ADSs/DSs/ to flush out any Safety, Compliance Performance issues or challenges that require more research or escalation.
  • Assists ADSs in the development, deployment and management of internal/external process improvements, functional initiatives and projects/procurement activities.
  • Responsible for executing timekeeping processes for non-exempt drivers including PTO requests, attendance and punctuality management. Generate reporting to assist Distribution Leadership in managing driver labor.
  • Supports the coordination and tracking of action items and metrics, vendor management procedures for planning, procurement plans, shortage mitigation, schedule validation, self-governance, and inventory analysis.
  • Generate OTM reports generated from routing systems to track and monitor departmental compliance. Take appropriate action through effective interpersonal communication with Area Distribution Supervisors to resolve issues.
  • Oversee the completion of all required insurance forms in commercial motor vehicle collisions, property loss in a timely and accurate manner and distribute to appropriate parties as required.
  • Plan, organize collision safety debrief meetings in an expedient manner following all departmental practices.
  • Schedule meetings for ADSs as requested within Outlook Calendar. Take meeting notes, publish and disseminate when requested.
  • Arrange and schedule any business travel for drivers on remote assignments as required.
  • Maintain a clean, safe, organized, and productive work environment while focusing on minimizing work- related injuries; complying with all regulatory guidelines, and Company directives.
  • Maintain business confidentiality relative to personnel, pricing, promotion, customer lists, and methods of distribution.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional online publications, and participation in vendor trainings.
  • Contribute to team effort by accomplishing related results as needed.

1. Previous background in transportation/logistics desired but not required.
2. Ability to work in a fast-paced team environment and prioritize based on Safety, Quality and Delivery
3. Multi-task, detailed orientated, efficient and accurate under pressure.
4. A positive, can-do attitude, professional appearance and demeanor.
5. Self-motivated that can work independently and effectively with team members
6. Proficient with Microsoft programs, esp. Excel with the ability to learn new computer/technical systems.
7. Display positive interpersonal skills through effective leadership and communication.
8. Professional phone skills and etiquette
9. Strong organization and time management skills with the ability to prioritize and meet deadlines.
10. Requires the ability to learn and/or have knowledge of State and Federal DOT Regulations for transportation.
11. Strong analytical ability highly desired
