As a Dispatch Coordinator, you will play a key role in the day-to-day operations of our vehicle upfitting facility. You will be responsible for coordinating the flow of vehicles through the upfit process by assigning work to Automotive Upfit Technicians based on vehicle requirements, technician capabilities, workload, priorities, and established production timelines.
Salary Overview:
The pay rate for this role starts at $19 per hour based on experience.
Hours:
The hours for this role are Monday through Friday, 7 am to 4 pm.
Dispatch Coordinator Responsibilities include:
- Review incoming work orders and vehicle requirements to determine the appropriate work to be completed on each vehicle.
- Dispatch and assign work to Automotive Upfit Technicians based on technician skill level, workload, vehicle requirements, and production priorities.
- Coordinate the flow of vehicles through the upfit process to ensure work is completed efficiently and on schedule.
- Monitor the status of vehicles throughout the upfit process and provide updates as work progresses.
- Track assigned work and follow up with technicians to identify delays, issues, or changes that may impact production timelines.
- Review work orders to ensure all required upfit work is completed before vehicles move to the next stage of the process.
- Coordinate with technicians and leadership when additional work, parts, or clarification is required.
- Enter and maintain accurate technician labor and timesheet information.
- Complete and update work orders with accurate labor, parts, and vehicle status information.
- Ensure completed work orders contain the necessary information for billing and administrative processing.
- Coordinate quality inspections and ensure vehicles are ready for final quality sign-off.
- Identify incomplete or incorrect work and coordinate with the appropriate technician to resolve issues before vehicle release.
- Maintain accurate records of vehicle status, work assignments, and completed work.
- Communicate production priorities, deadlines, and changes to the shop floor.
- Help identify workflow issues and opportunities to improve efficiency and vehicle turnaround time.
- Work closely with leadership and shop personnel to ensure production goals and customer expectations are met.
- Maintain a clean, organized, and professional work environment.
- Follow all company safety, quality, and operational procedures.

Dispatch Coordinator Qualifications and Skills:
- High school diploma or GED required.
- 2+ years of experience in a coordinator, dispatch, automotive, production, manufacturing, or similar environment preferred.
- Automotive or vehicle upfitting experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to prioritize and coordinate multiple vehicles and work assignments simultaneously.
- Ability to work effectively in a fast-paced production environment.
- Strong problem-solving and decision-making skills.
- Basic to intermediate computer skills with a general understanding of Microsoft Office.
- Ability to learn and utilize company systems and software to track vehicle status and work orders.
- Ability to work independently with minimal supervision while also collaborating effectively with technicians and leadership.
- Ability to communicate professionally with technicians, supervisors, and other internal teams.
- Must have superior attendance and be punctual and reliable.
- Valid driver's license with an acceptable driving record.
Dispatch Coordinator Working Conditions and Physical Demands include:
- Must be willing and able to work onsite in a professional automotive shop environment.
- Primarily an office and coordination-based position with regular interaction with the shop floor.
- Requires the ability to sit for extended periods while completing computer and administrative tasks.
- Requires regular walking throughout the automotive shop to monitor vehicle progress and communicate with technicians.
- May require occasional standing, bending, reaching, and lifting.
- Must be able to safely navigate an active automotive garage and production environment.
- Must be willing to work overtime when required based on business needs.
- May require occasional schedule flexibility to support production requirements.
- May be exposed to automotive fluids, fumes, chemicals, dust, and other materials commonly found in an automotive shop and warehouse environment.
- Must be comfortable working around moving vehicles, automotive equipment, cleaning products, and an active shop environment.
