Job Description

The Dispatch Associate will be responsible for routing orders and coordinating daily delivery operations across New York State. This role ensures that deliveries are efficiently scheduled, drivers are properly dispatched, and shipments reach customers safely, compliantly, and on time. The Dispatch Associate will serve as the central communication hub between drivers, warehouse teams, and customers while maintaining accurate dispatch records and ensuring compliance with New York transportation regulations.

Duties and Responsibilities:

The Dispatch Associate shall perform duties and responsibilities including but not limited to the following:

Routing & Dispatch Operations

• Route and assign orders to drivers across New York State to ensure efficient delivery schedules.
• Schedule, dispatch, and track drivers, loads, and delivery routes.
• Optimize routes and resource utilization to reduce delivery costs and improve efficiency.

Driver Coordination

• Communicate real-time instructions, route changes, and updates to drivers.
• Monitor driver progress throughout the day and ensure timely deliveries.
• Assist drivers with route issues, delays, or emergencies.

Shipment Monitoring

• Track shipment status and proactively resolve delays or routing issues.
• Coordinate closely with warehouse teams to ensure orders are loaded accurately and dispatched on schedule.

Customer & Partner Communication

• Coordinate with customers, carriers, and internal teams to meet delivery requirements.
• Respond to customer inquiries regarding delivery timing and shipment status.

Documentation & Reporting

• Maintain accurate dispatch logs, load details, and delivery documentation.
• Prepare daily and weekly reports on dispatch activities, route efficiency, and performance.

Compliance & Safety

• Ensure all transportation activities comply with company policies, New York State regulations, and DOT safety standards.
• Verify required documentation for shipments and drivers
• Other duties as may be assigned.

Qualifications and Skills

• 1–3 years of experience in dispatch, logistics coordination, or transportation operations.
• Strong organizational and communication skills.
• Ability to manage multiple drivers, routes, and priorities simultaneously.
• Experience using dispatch, routing, or logistics software.
• Proficiency in Microsoft Excel or Google Sheets.
• Amenable to work on a nightshift schedule.
