Job Description

The Director of Pastorate Operations provides comprehensive support primarily to the Pastor in the oversight and direct management of the temporal goods of the Parish, in compliance with the Archdiocese of Baltimore Policies and procedures. The DOPO, in conjunction with the Pastor, serves as the Chief Administrative Officer for the parish and its day-to-day operations. The DOPO supervises parish staff (except those reserved to the Pastor), and is responsible for some finance oversight, human resources, information technology, communications, and facilities management. The DOPO possesses and maintains an in-depth understanding of the Mission of the Catholic Church and the Parish and brings that understanding to bear in all considerations and decisions made within the scope of the essential functions listed below.

Essential Functions

  • Partner with the pastor to create team-based environments.

Financial:

  • Oversee an accurate filing and record keeping system for all parish financial matters. Ensure the staffing, budget, facilities, finances, and programs are appropriately aligned to best meet the church strategic goals and mission.
  • Approve invoices for payment.
  • Utilize financial data to consult with the Pastor on matters of stewardship, capital needs and expense control.
  • Assist accountants to perform all preparatory tasks for Parish audits; works with the Archdiocesan and external Audit entities to complete audits and implement recommendations.
  • Guide the annual parish budget process along with the Pastor, accountant and finance committee.
  • Monitor the collection, counting, recording and depositing of parish revenue from all sources.
  • Attend Finance Committee meetings at both parish and school.
  • Attends bi-monthly Business Manager Meeting hosted on zoom by Archdiocese Regional Comptrollers.
  • Serve as parish contact with banks and Archdiocese offices.

Administrative:

  • Direct and evaluate the operation of the parish to ensure that all activities, staff support the Mission of the Church and Parish, including:
  • Direct and oversee the day-to-day operations of both churches.
  • Direct and evaluate the application of Human Resources policies and procedures to ensure that all activities, staff and volunteers support the Mission of the Church and Parish and are in compliance with said policies.
  • In collaboration with the Pastor, help establish goals and objectives for all staff and then assist Pastor in coordinating annual performance reviews.
  • Coordinate the hiring and selection of personnel as directed by the Pastor and according to Archdiocesan Human Resources and Office of Child and Youth Protection.
  • Support the pastor in the accomplishment of the church's mission through ministry effectiveness by evaluation, discernment, planning and staff development.
  • Administer parish salary and benefit policies as directed by Pastor.
  • Supervise all non-pastoral staff. Keep Pastor apprised of performance or other work issues.
  • Prepare parish response to insurance and legal questions in cooperation with Archdiocesan offices.
  • Oversee the scheduling of all parish facilities to maximize utilization and control unnecessary expenses, while ensuring that third party usage is in accordance with AOB policy and insurance requirements
  • Administer salary and benefit programs for staff; collect and process time sheets from staff and forward them to bookkeeper for payroll processing; maintain staff personnel files and is responsible for yearly distribution of salary authorization forms.
  • Assist the Pastor in coordinating staff meetings to promote clarity & alliance with focus on the mission.
  • Attend other parish and school finance meetings as directed by the Pastor.
  • Direct and coordinate the compilation of data required for annual Consolidated Report and other management reports required by the Archdiocese or requested by the Pastor.

Facilities Responsibilities:

  • Oversee the ongoing usage and maintenance of the parish's real and personal property to ensure its adequacy and availability for current and future parish ministry needs.
  • Assist the Facilities Manager in negotiating contacts with outside contractors and vendors. Meet regularly with Maintenance Supervisor to discuss projects
    at both campuses.

Communications: Oversee the support and communications efforts of the parish to engage, educate and elicit action on the part of the parish community. Review and manage internal and external communications to ensure clarity and consistency.

  • Oversee the production the newsletter in paper form and website form to ensure its overall presentation is consistent with other forms of parish communication while also limiting redundancy.
  • Oversee MP communication to ensure regular impactful communication.
  • Support the communications efforts of the parish as part of the communication team.

Parish Ministries and Organizations Responsibilities

  • Assist Pastor in uniting the efforts of the diverse parish ministries and organizations.
  • Ensure good communication between the office staff and the parish organizations.
  • Oversee the scheduling of parish activities and ministries.
  • Work in conjunction with the Pastor in handling parish ministries and originations.
  • Serves as a resource to parish organizations in financial matters, from planning to auditing.
  • Parish Administrative liaison with St. Augustine school.

Other Tasks- As part of the parish leadership team the DPO may be asked at times to take on other responsibilities and tasks important to the mission of the parish.

Position Qualifications

  • Bachelor's degree in Business Administration, Finance, Accounting or related field.
  • Minimum 5 years' experience in financial or office management in a professional business setting.
  • Minimum 3 years' experience directly supervising staff.
  • Understanding of and ability to support the operation and mission of the Catholic Church.
  • Knowledge of diocesan guidelines and procedures.
  • Knowledge of QuickBooks Online.
  • Possess good written and oral communication and organizational skills.
  • Individual must have the ability to maintain confidentiality in all matters.

Pay Range: $60,000 - $64,000, Annualized
