General Statement of Duties

The Director of Maintenance is responsible for the safe, reliable, and effective operation of the community’s buildings, grounds, utilities, equipment, and maintenance systems. Reporting to the Executive Director, the Director of Maintenance leads preventative and corrective maintenance activities, supports life safety and emergency preparedness, supervises maintenance team members, coordinates vendors and projects, and maintains required records and inspections. The position is expected to prioritize resident safety and continuity of operations while managing maintenance resources responsibly and in accordance with organizational standards, approved budgets, and applicable regulatory requirements.

Essential Job Functions

  • Develop, implement, and maintain an effective preventative maintenance program for the building, grounds, utilities, equipment, and major systems, including electrical, plumbing, HVAC, and other essential community infrastructure.
  • Evaluate maintenance requests and equipment or system failures, prioritize urgent and resident-impacting work, complete repairs within the scope of the department’s capabilities, and coordinate qualified outside assistance when specialized service is required.
  • Maintain the community’s grounds, physical plant, equipment, and work areas in a safe, functional, and professional condition and proactively identify risks, deterioration, or recurring maintenance needs requiring corrective action.
  • Support compliance with applicable federal, state, and local life safety, building, fire, environmental, and community requirements; maintain required inspections, testing, logs documentation, and corrective action records within the maintenance function.
  • Coordinate fire prevention practices, drills, emergency systems, weather-related protections, water testing or treatment requirements when applicable, and other assigned emergency preparedness responsibilities in accordance with organizational procedures and regulatory requirements.
  • Respond promptly to maintenance emergencies, unsafe conditions, utility disruptions, unusual incidents, or other events affecting resident safety or community operations and communicate or escalate concerns to the Executive Director and other appropriate leaders without delay.
  • Supervise, assign, and prioritize the work of maintenance team members; establish clear performance expectations, monitor quality and completion of work, and provide training, coaching, and accountability consistent with organizational policies and leadership expectations.
  • Plan department staffing and daily work to support community needs while monitoring overtime, productivity, supplies, and other maintenance resources within established staffing plans and budget parameters; communicate material variances or resource needs to the Executive Director.
  • Promote teamwork, professional communication, and collaborative problem-solving across departments and ensure maintenance concerns are addressed through appropriate organizational processes rather than through independent or unauthorized changes.
  • Coordinate maintenance projects, repairs, and approved construction or capital work with the Executive Director, Home Office leaders, contractors, engineers, architects, and other vendors as appropriate, and provide timely updates regarding scope, progress, risks, and operational impact.
  • Maintain appropriate inventories of maintenance supplies, tools, and equipment; safeguard organizational property; and support purchasing decisions consistent with approved budgets, procurement practices, and delegated authority.
  • Evaluate when outside professional services are necessary, obtain or support required quotes and approvals, monitor vendor performance, and verify that contracted work is completed safely, appropriately, and in accordance with approved scope.
  • Maintain accurate and timely maintenance records, work orders, inspection documentation, equipment information, vendor records, and other required files using designated organizational systems and procedures.
  • Communicate maintenance priorities, unresolved risks, project status, equipment failures, regulatory concerns, and anticipated needs to the Executive Director and other appropriate leaders so operational decisions can be made promptly and responsibly.
  • Support residents, families, employees, and other departments through responsive service, respectful communication, and appropriate assistance during emergencies or operational disruptions while maintaining professional boundaries and resident-centered priorities.

As a department leader, the Director of Maintenance is expected to promote teamwork and collaboration, support organizational standardization, and follow established maintenance, purchasing, staffing, safety, and the project-approval processes. Concerns involving safety, building systems, staffing, compliance, project scope, budget, or other operational risks should be raised promptly and constructively to the appropriate leader. The Director of Maintenance is expected to operate within delegated authority and approved plans rather than independently changing staffing structures, initiating unapproved projects, or committing organizational resources without appropriate authorization.

Job Qualifications

  1. High school diploma or equivalent required; vocational, technical, trade, or facilities-management education preferred.
  2. Prior experience in building maintenance, facilities operations, or repair work involving electrical, HVAC, plumbing, mechanical systems, or related trades required; senior living, healthcare, or other regulated-environment experience preferred.
  3. Prior supervisory or team-lead experience preferred, with demonstrated ability to assign work, manage priorities, coordinate vendors, and maintain effective working relationships.

Knowledge, Skills, and Abilities

  1. Working knowledge of building systems, preventative maintenance, repair methods, tools, safety practices, and the ability to read and interpret plans, manuals, diagrams, blueprints, or technical information applicable to the work.
  2. Knowledge of life safety, emergency preparedness, fire prevention, and facility compliance expectations appropriate to a senior living or healthcare environment, with the ability to maintain required documentation and recognize conditions requiring escalation or specialized expertise.
  3. Strong organization, judgment, communication, and problem-solving skills with the ability to manage competing priorities, respond to urgent issues, work collaboratively with leaders and employees, and use electronic work-order, communication, or other organizational systems as required.

Work Schedule and Availability

This is an exempt leadership position with a work schedule established based on the operational needs of the community. Regular and reliable attendance is an essential function of the position. Because the community operates 24 hours per day, seven days a week, the Director of Maintenance may be required to respond to urgent maintenance or life-safety matters outside of normally scheduled hours, including evenings, weekends, or holidays. The Director of Maintenance is expected to maintain sufficient availability to support emergency response, continuity of essential building systems, regulatory or survey needs, and safe community operations while accurately recording all hours worked in accordance with organizational timekeeping requirements.

Physical Requirements

The physical requirements described below are representative of those necessary to successfully perform the essential functions of this position, with or without reasonable accommodation.

  • Must be able to move throughout buildings, grounds, mechanical areas, and other work locations frequently stand, walk, bend, stoop, kneel, crouch, reach, climb, and perform other movements associated with maintenance and inspection work.
  • Must be able to safely use tools and equipment appropriate to assigned work and lift, carry, push, or pull materials and equipment consistent with the physical demands of the maintenance function and established safe-work practices.
  • Must be able to communicate effectively, visually inspect equipment and environmental conditions, respond to alarms or emergencies, and maintain attention and judgment while working in areas that may involve noise, temperature variation, confined workspaces, or other ordinary maintenance conditions.
