Reporting to the Senior Vice President and General Counsel, support the Office of the General Counsel and Compliance, including the Office of Human Resources (OGCC), by developing, deploying and managing processes for these offices to effectively deliver services to departments, divisions and individuals across the University. Assist the Office of General Counsel by performing complex and diverse administrative, office, project management, and analytic duties, including those of a complex, sensitive and confidential nature and that require a familiarity with legal issues, process, documentation, and obligations. Facilitate improved collaboration and client services provision among groups both within and outside the OGCC on employee relations, compliance, legal and other matters.
Essential Duties and Responsibilities
● Develop and implement improved processes and workflows for legal and compliance matters, including contract matters, dispute and claim, and employment matters;
● Assist OGCC in optimizing use of systems and tools, including for workflows, file and matter management, and support of client teams and individuals;
● Plan and manage OGCC projects and matters, including managing contracts and disputematters, development and roll-out of new policies and procedures, training programs and materials, and other projects as needed;
● Improve and manage OGCC data collection and analysis, including for budgeting, insured matters and outside counsel engagements;
● Interact with attorneys and witnesses in litigation, employment and contract negotiation settings requiring tact and discretion, including personal interactions in highly sensitive/charged situations;
● Compose, edit and finalize correspondence and documents including, proofreading, drafting and compiling for attorney approval;
● Review and process subpoenas and court orders directed to the University and review and prepare responsive documents and information;
● Review and coordinate responses to discovery requests and court filings;
● Direct and manage the submission of potential claims to certain insurance carriers, including regular review of University Incident Reports, collection of pertinent documents and data, and serving as liaison between the Office of the General Counsel, the University’s broker and carriers, other University offices and all parties involved in the potential claim;
● Attend University Workplace Safety Committee meetings and participate in tracking and preventing claims of injury; attend annual Safety Certification training; and attend and participate in other committees and working groups as assigned.
● Manage record maintenance, including electronic file systems, including maintaining, managing and improving structured, searchable and comprehensive case and matter files;
● Maintain positive public relations with administrators, faculty, staff, business associates and outside counsel;
● Oversee the effective operation of the OGCC including oversight of the operational budget, departmental purchases and undertaking other duties as assigned; and
● Supervise the departments Administrative Assistant in document management, customer service, training and webinar support, maintenance of office equipment and supplies and needs, and related administrative support duties.
Minimum Qualifications: (Education/Training and Experience Required)
● Juris Doctor or other graduate/professional degree
● Minimum 5 years’ experience working in higher education
● Minimum of 5 years' experience in legal or similar operations with complex matters and client service focus
● Demonstrated ability to assimilate oral and written data, to analyze facts and draw logical and relevant conclusions regarding the matter(s) presented
● Advanced skills in the Microsoft Office and Google Suite
● Excellent verbal and written communication skills
● Demonstrated professionalism and sensitivity, consistent with the requirements of a law office and HR office, to the confidentiality and privileged nature of matters handled
● Demonstrated ability to work effectively and collegially with internal and external constituencies at all levels
Preferred Qualifications: (Education/Training and Experience Preferred)
● Expertise in using and managing workflows in Workday
Physical Requirements and/or Unusual Work Hours:
● May be required to work some evenings on a limited basis.
Pay Transparency:
The estimated pay range for this position is $72,000-76,500 annually. The offered salary will be commensurate with work experience and educational background.
