Summary:

Reporting to the Assistant Vice President of Advancement Services, the Director of Institutional Advancement Technology plays a critical role in the success of the Division of Institutional Advancement (IA). The Director of Institutional Advancement Technology serves as the subject matter expert for the Advancement division’s data, technology and information systems and provides data files and reports to meet the ongoing management, program planning, and communication needs of the Institutional Advancement as well as other campus partners who have a desire to engage with alumni, donors, and other data managed by IA.

This position designs, develops, maintains, and enhances systems to improve operations to meet the current and future needs of the division. Such support will be in the form of automated solutions, ad hoc reporting, and database integrations. They will develop procedures and solutions to ensure the quality of the data in these information systems; partner with senior management to determine organizational information and reporting needs; generate and/or maintain reports or dashboards illustrating overall as well as unit specific results; and develop and produce performance reports for constituent engagement and fundraising operations.

This role serves as technical liaison to Information Technology partners relative to the implementation and maintenance of the alumni and donor management CRM in addition to serving as technical representative on behalf of Institutional Advancement in discussions with vendors and other departments on issues relating to business needs.

Primary Responsibilities:

  • Serve as the technical lead for Slate CRM, oversee routine maintenance and system updates.
  • Designs and implements customizations and optimization that increase functionality.
  • Manage imports and integrations with Slate and outside software and subscriptions.
  • Leads project planning process including inception, technical design, development, testing and delivery of business intelligence solutions.
  • Responsible for managing reporting software and recommends and designs reports and other tools to increase self-sufficiency for IA data users. Performs analysis for a wide range of requests using data in different formats and from various platforms.
  • Manage the IA Business Analyst position.
  • Ensure technology services are delivered in a timely manner utilizing the Advancement Services Ticketing System to track, assign and complete work.
  • Foster digital transformation, encouraging and adopting modern business processes, setting elevated standards, and evolving technology support.
  • Work closely with Rollin’s central IT administration and departments to ensure compliance with and adoption of Rollins technology initiatives and policies.
  • Work closely with campus analytics liaisons, internal stakeholders, and IT to turn data into critical information that can be used to make sound business decisions.
  • Maintain familiarity with CASE Reporting standards for all advancement reporting and accurate survey completion.
  • Maintain knowledge of PCI compliance, IRS regulations and institutional privacy standards as it relates to Advancement data.
  • Partner with the IA training lead to generate training on department tools as appropriate.
  • Maintain documentation of data flows, integrations, access roles, reporting definitions, business rules, and support procedures to ensure operational continuity and effective collaboration with IT.
  • Nurture a strong customer service ethic among members of the AS team; seek feedback from internal customers and drive constant improvement. Collaborate with colleagues to achieve excellent cross-team communication and collaboration on shared projects and initiatives.

Minimum

Qualifications & Education:

  • Bachelor’s degree from an accredited university or college.
  • Minimum of five years of work related experience - database management, project management, programming, and data analysis experience.

Preferred Qualifications:

  • Work experience in higher education, non-profit and/or fundraising environment.
  • Progressive management responsibilities.
  • Experience in CRMs with exemplary SQL knowledge, with SSRS experience.
  • Experience working with major fundraising products/platforms such as Ellucian Banner, Raisers Edge, Slate Advancement, or similar constituent database.
  • Experience with PowerBi or other business intelligence tool as well as MS Office, MS Power Automate and MS Teams.

Knowledge, Skills, & Abilities:

  • Proficiency in database management systems and SQL coding.
  • Experience with integrations.
  • Ability to handle confidential information, maintain and update files with high degree of accuracy, and sensitivity to the importance of stewardship and donor relations.
  • Strong organizational and analytical skills; detail-oriented; ability to set priorities and manage time effectively in a deadline-driven environment.
  • Strong verbal and written communication skills; thorough knowledge of business English, spelling, and grammar.
  • Strong critical thinking and problem-solving skills to manage complex information, assess problems, and develop effective solutions; demonstrated experience and ability to produce high-quality reports and documentation.

Work Environment:

  • Campus-based, customer service role in an office environment, offering some opportunity for a hybrid work schedule.
  • Regular use of a computer and databases.
  • Employees are required to use their personal cell phones for work-related communications and tasks, including but not limited to responding to emails, attending virtual meetings, and accessing College applications.
  • Flexible scheduling and must be willing to work occasional evenings and weekends for Advancement events throughout the year including alumni/advancement events, Alumni Weekend, and Family Weekend.
