Job Description
- Responsible for game management of assigned sports (bowling, swimming, and others as required) and facility management of assigned buildings (Legends, Music Rehearsal Hall, 2900 Vanderbilt Place, 29th Ave House, and others as required)
- Work in conjunction with Vanderbilt University Maintenance & Operations (VUMO), vendors and grounds crew to ensure facilities are prepared to host events
- Develop and execute plans for the operation of assigned events and work with vendors and internal departments to ensure execution of assignments for events
- Including, but not limited to sports medicine, marketing, video/radio and television, director of operations for assigned sports, game officials (per SEC and NCAA regulations), plant/grounds, concessions, IMG sports marketing and sponsorship, VUPD, traffic and parking, etc.
- Assist in the game operations aspects of football, other home events, and special events as requested by the Associate Athletic Director of Facilities and Event Management
- Responsible for assigned area of home football operation, as well as assigned preseason and game week tasks
- Assist with other home events and special events as required
- Serve as primary contact for assigned facilities and oversee their operation and maintenance as well as make recommendations on projects to continuously improve the facility
- Assigned facility/event management tasks
- Manage expenses within the assigned budget
- Maintain cleaning standards and perform daily building survey
- Complete routine facility walkthroughs and coordinate maintenance, repairs, and improvement items with VUMO and appropriate contractors; track requests from submission through completion and ensure quality is achieved
- Manage equipment and inventory and coordinate repairs and ensure function
- Serve as point of contact for special events as required and ensure execution of rental agreement terms
- Plan and recommend facility improvements and upgrades, including routine, short-term, long-term, and capital items
- Plan and execute general facility operations tasks
- Building access control management
- Keys, including copy requests, re-keying areas, maintaining inventory, and logging distribution in accordance with university policy
- Card and biometric access, including working with Card Office to make staff and vendor requests, ensure function of equipment, complete access audits, and plan overall access program
- Fleet Management, including maintaining inventory of all department carts and vehicles, planning and tracking maintenance, tracking registration expiration, and adhering to cleaning standards
- Management of AED program for all facilities, including updating online records, ensuring the function and maintenance of all units, and procuring new and replacement units as required
- Other responsibilities as assigned
- Assist with scheduling of practice times and other facility usage
- Serve as liaison for support staff, including concessions, guest services, VUPD, LifeFlight, bookstore, marketing, IMG, NCC, ticketing, custodial, etc. for assigned sports and facilities
- Assist Associate Athletic Director, Facilities and Event Management as liaison with VUMO and Housekeeping for building maintenance issues for all athletics facilities.
- Maintain daily cleaning standards and perform daily tours of building(s) checking cleaning standards and maintenance items.
- Processing and distributing work orders to address facility needs.
- Maintain and develop working relationships and coordinate logistics with VUMO, campus groups, and other departments within Vanderbilt Athletics
- Responsible for assisting with any NCAA, NIT, SEC, etc. events hosted by Vanderbilt University, as assigned
- Comply with NCAA and SEC rules and regulations
- Perform other duties as requested by Associate Athletic Director, Facilities and Event Management
Education and Certifications:
- A Bachelor’s degree from an accredited institution of higher education is necessary.
- A Master’s degree from an accredited institution of higher education is preferred.
Experience and Skills:
- 2-4 years experience in Facility Management and Athletics Event Management is necessary.
- Ability to lift 50lbs is necessary.
- Forklift and OSHA scissor lift certification is necessary, or the ability to become certified within 30 days of employment.
- Analytical, evaluative, and critical thinking skills are preferred.
- Skill in organizing resources and establishing priorities is preferred.
- Computer skills, to include word processing and database management are preferred.
- Ability to assess and develop procurement specifications and coordinate purchasing activities in area of specialty is preferred.
- Ability to manage and coordinate multiple projects with short deadlines is preferred.
- Knowledge of budgeting and fiscal management principles and procedures is preferred.
