Job Description

Union Bank is seeking a motivated and detailed-oriented Administrative Officer to provide executive-level support to our President & CEO, Executive Management Team and Board of Directors. The Administrative Officer will also work collaboratively to assist with organizational initiatives, project management, and office support.

Key Responsibilities

  • Executive Support – Organize and manage board meetings, prepare agendas, record minutes, and ensure timely distribution of materials. Coordinate logistical and travel arrangements.
  • Board Governance- Support Board and committee operations, calendars, minutes, governance materials, and bylaws compliance.
  • Board Leadership Support- Serve as Board liaison and Assistant Secretary for the Board of Directors.
  • Meetings and Event Coordination- Organize Board meetings, annual shareholder meetings, catering, notices, attendance, and logistics.
  • Shareholder & Investor Relations- Support shareholder communications, proxy processes, investor presentations, and website updates.
  • Compliance & Administration- Manage policy renewals, confidential information, Diligent Boards support, and charitable contribution records.
  • Community Engagement- Participate in community service activities on behalf of the Bank.

Requirements

Qualifications

1. Minimum of 5 years administrative experience, ideally supporting at the executive level. Strong preference for individuals with experience working in the financial services industry in an administrative/project management capacity.

2. Ability to handle confidential information with sensitivity and professionalism.

3. Responsible for keeping up to date with pertinent banking regulations and banking principles.

4. Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, etc.).
