Responsible for overseeing the daily operations of health information management (HIM) that support release of medical information, document imaging, and medical dictation and transcription. This is done in alignment with administrative, ethical, regulatory and medical staff requirements. Effectively manages HIM and contracted staff covering all MHS acute care and ambulatory facilities, Memorial Primary Care, Memorial Manor, Memorial Home Health and Memorial Physician Groups.
Responsibilities:
Directs the staff and operations related to medical dictation and transcription services. Confirms that medical transcription meets expected quality and timeliness standards. Ensures that the medical dictation system is current with active MHS providers entered into the data base. Monitors the status of the medical transcription software system to minimize down-time and promote timely transcription. Serves as the liaison with the outsourced vendors for dictation and transcription.Serves as the Chairperson for MHS Forms Committee overseeing the additions and revisions of paper documents added to the legal medical record. Works closely with clinical and non-clinical staff across MHS to assure that medical record forms meet formatting, legal, regulatory and MHS requirements.Supports and provides guidance on all HIM related topics to Memorial Regional Hospital South and Memorial Hospital Pembroke including, but not limited to, the Joint Commission survey process.Monitors and oversees Document Imaging scanning and indexing performed post-discharge and at the point of care for Healthcare Information and Management Systems Society (HIMSS) Stage 7 certification compliance. Ensures that the process for converting paper images to electronic records is done with accuracy and in a timely manner as defined by MHS standards. Serves as the liaison with the outsourced vendor.Identifies, investigates, reports and resolves issues within a reasonable time frame.Plans and monitors staffing activities, including hiring, orienting, evaluating, disciplinary actions, productivity and quality monitoring, and staff training and education initiatives. Determines work assignments, monitors employee work activities and schedules all training needs. Assures appropriate coverage by staff for vacancies and absences. Orients and mentors newly hired staff to MHS applications, workflow, and policies and procedures. Monitors staff's compliance with quality and productivity standards.Assists HIM Administrative Director with assuring HIM Department operates in compliance with budgetary, regulatory, and personnel requirements.Oversees the Release of Information (ROI) function for all acute care and ambulatory facilities, including but not limited to Memorial Manor, Memorial Physician Practice Groups, Memorial Home Health, and Memorial Primary Care. Ensures that records are released following Federal, State and regulatory requirements with accuracy and timeliness as defined by MHS standards. Serves as the liaison with the outsourced vendor.Performs other duties as required.Maintains strict adherence to patient confidentiality according to MHS Standards and regulatory requirements.

Complexity of Work: Requires critical thinking skills, effective written and verbal communication skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action. Demonstrates effective time management skills. Requires thorough knowledge of provider documentation workflows in the electronic medical record. Provides guidance to other departments/clinicians in identifying and resolving issues related to patient identity, medical record number merges, and chart corrections. Proficient in basic computer skills including Microsoft Office applications and utilizing an electronic medical record system. Possesses thorough knowledge of Federal, State and regulatory requirements related to Health Information Management operations for areas of responsibility.
Required Work Experience: A minimum of five (5) years of professional experience in Health Information Management (HIM), including at least two (2) years in a leadership or managerial role.
