At Baker Tilly Staples Rodway Hawke's Bay, we're more than just accountants. We're looking for an experienced and highly organised Director Administration Support to provide administrative and client support to our Directors and wider Business Advisory team. You'll be at the centre of keeping things running smoothly, helping our team deliver exceptional service to clients while ensuring important tasks, documentation and processes are completed accurately and on time. This role would suit someone who enjoys being organised, likes variety, takes pride in producing quality work, and is comfortable juggling multiple priorities in a professional office environment.

What you'll be doing

Your responsibilities will include:

  • Preparing, formatting and coordinating client documents, correspondence, reports and finalising financial statement
  • Assisting with proposals, engagement documentation and new client onboarding
  • Preparing client files and maintaining organised electronic records
  • Monitoring workflow requirements and following up outstanding actions
  • Coordinating meetings, training sessions, webinars and client functions
  • Preparing meeting materials and ensuring meeting logistics are organised
  • Managing document workflows, obtaining client signatures and processing administration requirements
  • Assisting with client billing and other administrative processes
  • Responding to client enquiries and directing requests appropriately
  • Providing backup support to reception and the administration team during busy periods or leave cover
  • Supporting Directors by helping keep important deadlines, client commitments and internal porcesses on track

About you

You'll be someone who:

  • Has previous administrative, coordinator or office support experience
  • Is highly organised with excellent attention to detail
  • Can manage multiple tasks and changing priorities confidently
  • Has strong Microsoft Office skills, particularly Word, Outlook and Excel
  • Is comfortable learning and using technology to improve efficiency
  • Has excellent written and verbal communication skills
  • Takes initiative and follows through on tasks
  • Enjoys working collaboratively as part of a team
  • Maintains a professional and positive approach when working with clients and colleagues Is proactive, reliable and able to work independently

Experience within a professional services, legal, accounting or corporate environment would be advantageous, but is not essential.
